We are seeking a highly organized and detail-oriented full-time Lower School Administrative Assistant to join our team and provide essential administrative support to ensure the smooth operation of our Lower School serving students ages 3 through grade 4.
Position Overview
The Lower School Administrative Assistant is responsible for managing the day-to-day operations of the Lower School office. This role requires strong communication, organizational, and problem-solving skills to support faculty, staff, students, and parents effectively.
Key Responsibilities
Office Administration: Perform general clerical tasks, including answering phones, handling incoming and outgoing mail, filing paperwork, budget processing, and preparing documents such as spreadsheets.
- Support Staff & Faculty: Provide administrative support to teachers and leadership, assisting with various tasks as needed.
- Scheduling & Communication: Coordinate and schedule meetings, manage calendars, and facilitate communication between faculty, staff, and parents.
- Data Management: Understanding of basic database management and processes, input and manage student progress report data, maintain records, and generate reports.
- Google Workspace: Proficiency in Google Workspace (Docs, Sheets, Forms, etc.) and an ability to learn new software. Proficiency with Blackbaud Education Edge is a plus.
- Attendance, Dismissal and Visitor Coordination: Organize and oversee daily attendance, dismissal plans, and visitors ensuring student safety and efficiency.
Substitute Coordination: Organize substitute teacher coverage as needed, ensuring seamless transitions in classroom instruction.
Qualifications & Skills
Prior experience in an administrative role, preferably in an educational setting.
