the Senior Administrative Assistant is responsible for all office administrative tasks including but not limited to corresponding directly with the ABM clients, vendors, and subcontractors, answering phones, electronic filing, data entry, ordering supplies, and will perform any additional duties as needed. Will work closely with Branch Manager, District Managers, vendors, and subcontractors.
Machinery/Equipment/Tools Operated:
Computer, copy machine, printer, fax machine, shredder, scanner, cell phone
Specific Job Duties:
§ Coordinating communications between branch and Project Managers
§ Assist with On-Boarding of new personnel to include safety and other orientation
§ Answer phones and direct incoming calls as well as taking and distributing messages for staff.
§ Manage Coupa PO processes
§ Order phones/laptops
§ Generate Coupa purchase orders
§ Separate/Distribute Checks
§ Forecast/Budget Updates
§ Shredding
§ Electronic Filing
§ Make copies using copy machine
§ Fax or scan documents when needed
§ Greet visitors and assist any applicants. Interested candidates will be instructed to apply at ABM.com
§ Order supplies/materials as directed by field staff and maintain records
§ Receive supply deliveries
§ Assist employees when they come in to pick-up equipment or supplies for their jobs
§ Clean office and keep it stocked
§ Misc. office duties
§ Will perform additional duties based on the business needs of operation
Minimum Requirements
- High School Diploma or GED preferred. Associate or bachelor’s degree in applicable field of study preferred.
- Four (4) or more years of Office Administrative experience.
- Three (3) or more years of budgeting, expense control, and scheduling experience.
- Demonstrate an advance level of experience with Microsoft Office software applications, including Outlook, Excel, and Word.
- Employee must be internet/computer savvy.
- Human Resources coordinator experience preferred.
