Abode, one of the largest and effective nonprofits working to end homelessness in the Bay Area, is seeking an Asset Management Analyst.

About the Role: This person is responsible for electronic file records, annual reporting tracker, reserve draw requests, investor/lender reporting, annual welfare tax exemption filings, data entry, meeting scheduling, performance report building, and affordable housing compliance research. This role is an opportunity for you to learn and develop essential skills in the asset management function of real estate and affordable housing compliance. You must have proactive communication skills with internal partners, including executive leadership, team leaders, property managers, finance, resident services, compliance, and development team members. In addition, a successful candidate must have impeccable attention to detail and great problem-solving skills with the ability to stay solution focused and SMART goal driven.

How You Make An Impact

Financial Reporting and Compliance (~30%) 

  • Variance Notes: Monitor the completion of financial variance notes in Yardi by property management staff. Track progress in monthly performance metrics and collaborate with Data Specialist on the delivery of data.  
  • Budgeting: Support the annual budgeting process, populate data, schedule review meetings, and submit final budgets for approval to lenders, investors, and other stakeholder agencies that require review. 
  • Reporting: Complete timely and periodic reporting to internal and external partners with input from Asset Management Leaders, Property Management and Compliance.  
  • Document Management: Organize and file documents related to the ownership and operation of buildings in the asset housing portfolio, which may include loan and regulatory agreements Collaborate with Team Leaders on the filing of third-party management monthly financial reports. 

Operations Support (~25%) 

  • Portfolio Oversight: Assist the Director of Asset Management to identify watchlist properties, create and monitor action plans, and follow up with internal and external members, as necessary. 
  • Site Inspections: Schedule and coordinate property physical inspections on behalf of the Team Leads, and participate occasionally, as part of monitoring physical condition, management execution, property capital needs and physical risk management with investors and lenders. 
  • Report Building: Support the bi-annual updates to the Real Estate Owned Schedule to reflect audited financial data and provide updates for portfolio. Coordinate with Development on updates to construction and lease-up projects.  
  • LLC Renewals: Submit renewals to the Secretary of State of existing LLC entities and track future submittals.  
  • Email Maintenance: Monitor the email accounts for the department, forward as appropriate, and follow up on responses due, as needed.  

Capital Improvements & Reserve Draws Administration (~5%) 

  • Capital Improvements: Support the renewal of annual capital improvement plans with the Asset Management Team, Property Management and Facilities. Assist the Asset Management Team with obtaining approvals for reserve withdrawals. Monitor the completion of capital projects from start to closeout.   
  • Reserve Draws Administration: Submit reserve draw requests to all stakeholders on behalf of the Asset Management Team.  
  • Physical Needs Assessments: Monitor the completion of physical needs assessments against regulatory agencies and lenders/investors. Coordinate scheduling with contractors, property management, and facilities. 

Insurance Management and Procurement (~10%) 

  • Claims Management: Collects and electronically files insurance claims, lawsuits, and supports the Associate Asset Manager to track outcomes for the real estate portfolio. Coordinate with insurance broker, property management, and facilities, as necessary.  
  • Warranties: Tracks warranties and construction defects prior to their expiration and prompts the Asset Management Team.  
  • Insurance: Support the Asset Management Team to create insurance requirement summaries, annual insurance renewals, and payment of insurance premiums.  

Welfare Tax Exemption & Board of Equalization (BOE) Submissions (~15%) 

  • Initial and Annual Welfare Tax Exemption: Lead the annual submission of welfare exemption filings with local County Assessors to initiate and maintain exemptions on qualified Portfolio Assets and their respective ownership entities. Assist the Asset Management Team with initial first filings and complete annual filings for the real estate portfolio. Deliver material to the local County Assessor’s offices, as necessary.  
  • BOE Status Updates: Support renewal applications for stabilized projects as necessary by reviewing documents and submitting them to BOE. Reach out to the development team for regular updates on the approval of OCC/SSC Applications for new projects. Support the Asset Management Team with submitting BOE applications and obtaining BOE approvals for existing projects transitioning to a new ownership structure.  
  • Operating Policies, Procedures, and Professional Development Training (~15%) 
  • Operating Policies and Procedures: Coordinate meetings or workgroups related to drafting and researching of new operating policies and procedures to support the Asset Management Team, Directors, and Executives. 
  • Professional Development Training: Attend training and education classes to maintain current knowledge on Asset Management best practices through industry training sessions and annual conferences, as needed. Observe Team Leaders during site visits, interdepartmental and 3rd party meetings.  
  • Other duties as assigned 

How You Meet Qualifications

  • Minimum of one (1) year of professional experience in multi-family compliance and/or multi-family real estate asset management, property management, finance, or related field; OR one to two years of experience working with a developer specializing in tax credit properties.  
  • Undergraduate degree or equivalent industry certifications or experience. 
  • Exceptional ability and skill to utilize spreadsheet tools and word processing for analyzing, tracking, and communicating information. 
  • Strong organizational, detail orientated, and time management skills. 
  • Proven ability to work independently, effectively as an individual and part of the team. 
  • Ability to meet the geographic range of the position. Position requires frequent travel throughout Napa, San Francisco, San Clara, Alameda, and Sonoma. Geographic regions may change but will be in the SF Bay Area. 
  • Strong ability to represent the interests of the agency, interact effectively with a diverse population, and be comfortable building successful collaborative relationships with tenants, staff, and with community and resource building.  
  • Strong understanding and belief in Housing First Philosophies.
