The Above and Beyond Therapy Scheduler is responsible for coordinating and managing the therapy schedules for clients and staff. This role ensures that therapy sessions are efficiently scheduled, facilitating smooth operations and optimal delivery of therapy services to children with Autism Spectrum Disorder (ASD). The Scheduler acts as a key point of contact for families, clinicians, and other staff, ensuring communication is clear and all scheduling needs are met in a timely manner.
Key Responsibilities:
Scheduling:
Schedule therapy sessions for clients in accordance with clinician recommendations and family availability.
Ensure that all therapy sessions are properly assigned to qualified staff and resources.
Maintain accurate and up-to-date records of therapy schedules for clients and staff.
Adjust schedules as needed to accommodate cancellations, no-shows, and changes in availability.
Client and Staff Communication:
Serve as the main point of contact for families regarding therapy schedules.
Communicate schedule changes, cancellations, and confirmations to clients and their families in a timely manner.
Collaborate with clinicians to adjust schedules based on client needs and availability.
Ensure that all staff are aware of their scheduled shifts and responsibilities.
Problem Resolution:
Handle scheduling conflicts and ensure that any issues are resolved efficiently and professionally.
Ensure that all therapy sessions are adequately staffed, ensuring high-quality care.
Compliance and Confidentiality:
Ensure that scheduling practices comply with organizational policies and regulations.
Maintain confidentiality of client information at all times.
\nQualifications:
Experience: A minimum of 1 year of experience in scheduling, administrative, or customer service roles, preferably within a healthcare, therapy, or educational setting.
Skills: Strong organizational skills, attention to detail, and the ability to multitask effectively. Excellent communication skills, both written and verbal.
Education: High school diploma or equivalent required; additional education or
Technical Skills: Proficiency in Microsoft Office Suite and scheduling software.
Knowledge of ABA therapy services is a plus.
Ability to work well under pressure and handle multiple scheduling changes at once.
Strong interpersonal skills for effective communication with clients, families, and staff.
