What are the responsibilities and job description for the Bookkeeper position at ABRA?
Financial Bookkeepers maintain financial records, helping companies to understand their finances and manage their cash flow. They record financial transactions and ensure financial records and statements are accurate and up to date. This work involves using specialized software, including accounting programs and spreadsheets. Bookkeepers also track business income and spending. Bookkeepers may need to spend a portion of their day making phone calls to CILA Manager, Guardians, and/or clients to settle balances. The Financial Bookkeeper works directly under the Financial Director.
Bookkeeper Skills and Qualifications:
- Be at least eighteen years of age, have proof of a high school diploma/ GED and demonstrate eighth grade level of literacy on the TABE
- At least 1 year experience with business, clerical and computer skills
- Be able to speak and understand English
- Possess a valid drivers license and insurance
- Successfully pass screening through the Illinois Uniform Conviction Information System and check through the Illinois Department of Human Service Habilitation Aid/Nurse Aid Registry for potential abuse/ Neglect charges
- Maintain current CPI, OIG Rule 50, CPR and First Aid Certification
- Good attention to detail to enter correct data into financial records and recognize errors
- Mathematics skills for accurate record-keeping
- Administrative skills for filing financial records
- Computer literacy, especially familiarity with spreadsheets, databases and accounting software such as Microsoft Office, Excel and Quickbooks
- Multi- tasking and organizational skills to manage different financial duties, including the ability to prioritize tasks in order to meet deadlines.
- Interpersonal and customer service skills for dealing with clients and other employees
- Communication skills, including the ability to explain complex financial matters in accessible terms
Bookkeeper Duties and Responsibilities
- Processing payments, invoices, income and receipts and entering data into accounting software or databases then filing hard copies
- Preparing financial statements showing business income and expenduiture
- Tracking bank account balances
- Verifying the accuracy of business accounts and alerting the Financial Director of errors
- Recording any inconsistencies to help the Financial Director reconcile inaccuracies
- Developing monthly financial statements including cash flow, profit and loss and balance sheets
- Helping the Financial Director with administrative duties and preparing yearly accounts
- Approve payroll time sheets for all direct care and vocational employees
- Originate and maintain payroll change forms as needed for all direct care employees
- Approve mileage sheets for all direct care and vocational employees
- Review the individuals receiving services financial accounts and the record keeping of these accounts. This may include completing or assisting with the completion of all forms needed to ensure that the individuals are receiving the benefits that they are entitled to receive (i.e. social security, public Aid)
- Advise the CILA Manager of an individual's financial situation and keep them aware of any limits set by the guardian on the individual's account
- Complete the Third party billing for each individual with the Financial Director
- Insure that the individual's annual and/or six month reviews and participate as a member of the Community Support Team
- Complete a Financial Review and Money Management Agreement for each individuals review
- Prepare vouchers and checks for the purpose of paying bills and submit to the Financial Director
- Record Cash receipts and prepare deposits
- Complete and submit monthly DHS Community Reporting System (ROCs) reports
- Maintain and reconcile the agency's petty cash account and back accounts (i.e. checking and savings)
- Prepare and submit invoices for rental agreements and Clerical Services
- Annually update W4's for all employees
