We are seeking a candidate for the Albany office to assist with office operations through-out the state . The right person should have some experience in operations , administration , and understanding of construction environment . The main obligation of the position will be to over see operations utilizing a new system on Apple I-Pads as a conduit for communication between all the offices throughout NYS. the candidate will also maintain various elements of safety policy, record training programs for insurance company requirements. Responsibilities
· Assist our IT vendor to maintain communication to field technicians utilizing aApple I-pads, learn and implement new software systems updates as needed for industry and technology changes.
· Assist our web developer to collect content from field technicians for social media advertising, review management, and identify possible new market opportunities.
· Maintain Excel form in share point – keep up to date information on employee contact information, safety equipment inspections, track employee training certifications, implement required weekly, monthly, and annual recertification training notices. EX: toolbox talk, OSHA 30, Back-flow certification, lift training etc.….
· Utilizing the corporate share point - upload and track all company vehicles for current registration ,inspections , service records, and monthly condition reports submitted by field technician. Notify the mechanic of all required repairs and log in to share point when the repair is completed.
· Utilize “MS Office Suite” with Outlook, Excell, power point, and MS Projects to Create forms and tables to track or record company assets and increase efficiency throughout the company.
· Onboarding: Ensure NYS compliance with new employees, review internal policies, collect legal document requirements EX: I-9, W-4, order background checks, and drug test. And employee contact info to Excell form
· Maintain current safety policy: keep up to date the safety program when we are notified of industry and insurance changes.
Other duties :
- Assist with event planning and coordination for company ,events , functions and meetings
- order company sweat shirts ,polo's ,and misc swag thru various suppliers
- Maintain organized filing systems and ensure all safety records are up-to-date.
- Perform clerical duties such as data entry, correspondence management, and preparing reports.
- Collaborate with other departments to facilitate communication between all employees and offices.
Experience
- Proven experience in an contractor administrative support role or similar position in safety is preferred.
- Strong office skills with a focus on efficiency and event planning capabilities with attention to detail.
- Proficient in clerical tasks including typing, data entry, and general administrative duties.
- Exceptional communication skills, both written and verbal, with the ability to interact professionally with all levels of staff
