Job Title: Office Administrative Assistant
Reports To: Grant & Development Manager
Time Requirement: Full-Time | 40 Hours/Week | Non-Exempt
Location: Abused Adult Resource Center
STATEMENT OF PURPOSE
First point of contact for clients and administrative support to ensure efficient operation of the office. Supports employees through a variety of tasks related to organization and communication. Utilize experience and judgment to plan and accomplish goals with flexibility, creativity and latitude.
GENERAL
· Answers phone calls, schedules meetings (using Outlook and Teams) and supports visitors
· Carries out administrative duties such as filing, typing, copying, binding, scanning, etc.
· Produce and distribute correspondence memos, letters, faxes, invoices and forms
· Willing to learn financial software to enter in invoices/receipts, do in house checks, other small financial duties. (Quickbooks/Hubdoc/Bill.com)
· Be comfortable multi-tasking and/or prioritizing tasks
· Accept, sort, organize, and document donations brought to the office
· Exhibits polite and professional communication via phone, e-mail and mail.
· Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
· Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
· Work individually and in a team environment
· Handle sensitive information in a confidential manner
· Coordinate office procedures, maintain up to date lists and procedure manuals
· Receive, sort and distribute the mail
· Money count and verifications
· Deposits
OTHER

- Attend staff and other relevant meetings, trainings, and in-services as assigned.
- Other duties and projects as requested by supervisor or Executive Director.
QUALIFICATIONS AND REQUIREMENTS

- Two years relevant experience
- Awareness of sexual assault and domestic violence issues
- Equivalent combination of education and/or experience may be considered
- Displays a positive attitude, works well with others, and accepts direction well.
- Excellent organizational, communication (verbal and written).
- Able to work well in stressful and emotionally taxing circumstance.
- Ability to empathize, encourage and guide.
- Able to independently use a computer for word documents, spreadsheets, presentations, email, internet research, data entry and data management.
- Valid driver's license and car insurance.
- Must be willing to complete background checks.
- Ability to read, write and speak English.
- Possess vision and hearing sufficient to work on a computer, on the telephone and in person.
- Able to lift at least 20 pounds
- Be willing to work on small tasks outside of the job description when needed
SALARY RANGE
$22-25/hour dependent on training, education and experience.
