Job Title: Special Programs and Assessment Records Clerk
Reports to: Director of Special Programs
Exemption Status: Nonexempt
Dept./School: Districtwide Special Programs
I. Primary Purpose
Provide administrative support to the Director and members of the Special Programs
Department. Facilitate the effective operation of the Special Programs Department and
assume responsibility for preparing assigned tasks efficiently and accurately.
II. Qualifications
Education/Certification - High School diploma or GED
Special Knowledge/Skills:
Proficient skills in keyboarding, word processing, and file maintenance 
Ability to use computer and software to develop spreadsheets/databases and do word
processing 
Ability to communicate effectively and work with a wide range of people. 
Maintain confidentiality.  
Superior written, organizational, communication, and interpersonal skills.
Ability to understand detailed written or oral instructions.
Ability to meet established deadlines.

III. Major Responsibilities and Duties:
Records and Reports
1. Compile, maintain, and file all reports, records and other documents within required
timelines
2. Coordinate the preparation and maintenance of all spreadsheets/databases,
correspondence, and other documents as needed by the Director
3. Check and maintain paperwork for compliance issues
4. Send and receive records requests for new and withdrawn students in special
education 
5. Maintain organized records and filing system for Special Education records
6. Maintain appropriate records needed for State Performance Plan Indicators 
7. Keep accurate records of referrals to remain in compliance with timelines
Data Entry
1. Maintain accurate and up to date records of students in all special programs

2. Upload data files into records management system within required timelines for
testing
3. Enter STAAR Alt and TELPAS results into records management system within required
timelines
4. Upload assessment results to local student data systems 
Other:
1. Facilitate interaction between departments in the district, parents, and outside
agency staff, as appropriate, to promote high quality services to campuses.
2. Support the processes required for Special Programs trainings, including Special
Education, Section 504, At-Risk, Dyslexia, ESL, Gifted and Talented, and state and
local assessments throughout the district including procuring a location, entering
training into Eduphoria, and preparing materials for training.
3. Prepare purchase orders as directed by the Director, including ordering and
maintaining receipt of materials.
4. Collaborate with district personnel on SHARS documentation and reports.
5. Schedule and provide preparatory assistance for meetings as directed by the
Director.
6. Coordinate and maintain accurate records for all Special Education transportation.
7. Establish and maintain a positive attitude that promotes cooperation between staff
members and lends support to the goals of the District.
8. Participate in staff development, faculty meetings, and special events as needed.
9. Perform other duties as assigned.

control under stress; apply common sense understanding to carry out instructions furnished in
written or oral form; ability to manage and solve problems involving several variables; limit
operational downtime and/or interruption of district effectiveness due to absences.
