What are the responsibilities and job description for the Procurement Manager position at Acadia Landscape Co.?
Acadia Landscape is seeking an individual to coordinate activities involved with procuring landscape materials, plants, irrigation, raw materials, block & brick, aggregates, equipment, tools, parts, and supplies for multiple projects.
Candidate should have experience in the installation of a variety of hardscape, landscape, irrigation, lighting, and drainage. The candidate should be able to interact with designers, project managers, foremen, clients, and vendors daily.
Typical Duties:
Develop and maintain a Purchasing Log for projects, including materials dispatched, back-ordered, and complete. Update the log with approved change order revisions and be prepared to discuss anticipated over/underruns for monthly Cost to Complete analysis.
Determine methods of procurement, such as direct purchase or bid.
Confer with vendors to obtain product and service information, and verify price, availability, and delivery schedule.
Select products for purchase by comparing specifications, and bid estimates, and conferring with the project team. Be prepared to offer “equal” items that could save the company time or money.
Procure and prepare landscape submittals for review.
Create a submittal log and maintain entries and client review status.
Review material and subcontractor proposals and negotiate purchase orders and subcontracts within budgetary limitations and scope of authority.
Prepare purchase orders or subcontracts.
Track long lead items and verify committed delivery dates.
May dispatch materials, etc. as required.
Discuss defective or unacceptable goods or services with Quality Control personnel, Project Managers, and vendors to determine the source of trouble and take corrective action.
Maintain “yard stock” of landscape materials for our delivery and supply service (Knoxville Landscape Supply).
May approve invoices for payment.
May arrange to expedite delivery of goods.
May perform estimating and/or operations take-off and sub/vendor solicitations.
Global Tasks
Leverage buying power and economies of scale with bulk purchases and/or vendor discounts based on quantity purchasing and/or multi-project buyouts.
Estimate material or service value according to knowledge of market prices.
Manage “rewards” programs with applicable vendors.
Study market trends and incorporate strategies to ensure the best pricing for the company.
Develop business relationships with vendors.
Build trust-based relationships with suppliers.
Buy direct from the manufacturer, when possible.
Initiate and negotiate Master Purchase Orders.
Initiate and negotiate Payment and Discount Terms.
May perform Estimating and/or Operations material takeoff.
Qualifications
3 years of versatile landscape experience preferred
Bilingual (Spanish) candidates encouraged to apply

Planning and organizing skills
Analytical and reasoning skills
Computer skills with a variety of software including QuickBooks, Microsoft Excel, Google Workspaces & Suite of programs, Adobe Acrobat, CRM & project management tools.
Valid driver’s license and clean driving record
