Pay Range: $70,720-$76,960 per year DOE

GENERAL SUMMARY:
* This position is 100% in-office/on-site. Not a remote opportunity. *
The Executive Assistant (EA) will report directly to the ACC Senior Services President & Chief Executive Officer. The EA will also assist the Executive Team as well as Human Resources. The EA’s essential job duties consist of administrative work and special projects directly related to the management of general business operations. The EA will be required to exercise discretion and independent judgment with respect to matters of significance. This position will be working closely with staff on-site and may also be assigned to manage special projects or assist with other duties as needed. This position is not remote.
RESPONSIBILITIES:
- Acts as liaison between the ACC President/CEO, subordinates; communicates information, instructions and assignments and following up on the status of assignments
- Updates ACC President/CEO on status of issues before scheduled meetings.
- Maintains CEO and Executive Staff calendars as needed.
- Provides support to the CEO, Executive Team of ACC & MoW, and staff.
- Takes board meeting minutes; prepares agendas, articles, reports, and other documents with minimal review by others for accuracy, completeness and professional appearance for record keeping, decision-making support, presentations and publications.
- Produces, assembles, distributes meeting materials to staff prior to meetings.
- Manages and coordinates special projects as assigned.
- Establishes, revises and maintains office procedures and policies.
- Creates, composes and reviews letters, emails, and memos.
- Responsible for the development and maintenance of administrative office systems in support of day-to-day operations including maintenance of paper and electronic corporate files, assuring communications and facilitating interdependent work of executive, program management, fund development, accounting, and human resource functions.
- Performs general administrative duties to ensure office operations utilizing office equipment, audio/visual equipment and telecommunications devices.
- Assists staff with audio/visual equipment set up for meetings and presentations.
- Maintains confidential information, controls confidential matters and documents.
- Receives and screens calls and visitors to administrative offices, determines priority, takes messages and arranges meetings as appropriate; refers to appropriate staff or provides requested information and keeps President/CEO advised of matters.
- Orders office and kitchen supplies and keeps items stocked as needed.
Qualifications
QUALIFICATIONS:
- 3-5 years’ experience as Executive Assistant supporting multiple leaders a must!
- Excellent written and verbal English communication skills; public speaking skills.
- A Bachelor’s degree and/or equivalent work experience in multisite or high functioning office functions preferred.
- Proficiency with administrative office procedures & protocol: meeting planning & minutes; scheduling, design and maintenance of filing & office systems, word processing, spreadsheet, communications; proficiency in MS Office Suite; analytical applications, and phone systems.
- Demonstrate proficiency in using and troubleshooting issues with office equipment (e.g. LCD projectors, computer workstations, fax machines, multi-line telephones, calculators, photocopiers, and audiovisual equipment).
- Flexible hours (mostly weekdays but some evenings and weekends required).
- Experience in non-profit environment desired.
Salary : $70,720 - $76,960
