RESPONSIBILITIES:
- Greets visitors & determines needs, creating a positive first impression.
- Manages all incoming phone calls during assigned hours and ensures after hours’ phone calls are routed to on-site supervisor.
- Works with Life Enrichment Supervisor and Marketing Manager to maximize effective, streamlined admissions process, transportation scheduling and directions to community activities.
- Updates daily census according to residents’ status.
- Provides advance notification to department heads regarding appropriate preparation and follow-up for new admissions and re-admits; communicates questions or concerns to appropriate department manager or Administrator.
- Answers general questions and provides information to visitors or callers.
- Updates appropriate resident and staff rosters, visitors’ logs and resident sign in/out logs.
- Performs a variety of clerical duties such as: inputting new resident information to the database, typing reports, maintaining room labels, updating census reports, and clerical projects as needed.
- Assists with distribution of payroll checks and resident statements as needed.
- Prepares fliers for activities, community events.
- Ensures mail and packages delivered are logged and sorted for appropriate pick up by residents and staff.
- Checks office machines daily and reports need for service or repair promptly.
- Registers and submits collected COVID tests.
- Updates daily inventory for the PPE items and orders supplies as needed.
Qualifications
- High School graduate or equivalent with excellent organizational skills.
- Exceptional customer service skills and guest relations with two years’ clerical experience utilizing heavy phones, computers, printers and copiers; proficient in Microsoft Word & Excel.
- Strong written and verbal communication skills.
