Position Summary
Accelevation LLC is seeking a detail-oriented and customer-focused person to join our Finance & Accounting team. This role is critical in ensuring the smooth onboarding of new customers through the prequalification process, while also assisting with Accounts Receivable (AR) responsibilities. The ideal candidate will have strong organizational skills, experience working cross-functionally, and excellent customer communication abilities.
This role requires working with customer portals, gathering required documentation, and collaborating with Sales, Finance, HR and Operations to streamline the customer onboarding process. In addition, the Accounts Receivable responsibilities will support invoicing, payment application, and customer account management in Epicor ERP.

Key Responsibilities
1. Customer Prequalification & Onboarding (Primary Focus)
- Manage the customer prequalification process to ensure timely and accurate submission of required documentation.
- Work with Sales, Operations, and Legal to gather and verify necessary information for customer onboarding, including financial statements, safety records, insurance certificates, and compliance forms.
- Navigate customer portals to complete prequalification submissions and maintain compliance with general contractor requirements.
- Ensure data integrity by maintaining up-to-date records in Epicor ERP and other tracking tools.
- Communicate directly with customers to clarify requirements, submit documentation, and address any prequalification-related inquiries.
- Identify process improvements to streamline onboarding and reduce turnaround times.
2. Accounts Receivable (AR) Support
- Assist in creating and sending invoices in Epicor ERP based on contract terms and project milestones.
- Apply customer payments, ensuring proper cash application and reconciliation of outstanding balances.
- Support credit and collections efforts, working closely with customers to resolve payment discrepancies and past-due accounts.
- Maintain AR aging reports and provide analysis to improve cash flow management.
3. Cross-Departmental Collaboration & Process Optimization
- Act as a liaison between Sales, Finance, HR, and Operations to ensure seamless customer experience.
- Work closely with external teams to meet compliance requirements for customer onboarding.
- Partner with the Accounting team to support month-end close activities related to AR and customer prequalification.
- Participate in system enhancements and contribute to improving automation within the prequalification and AR processes.
4. Compliance & Documentation
- Ensure all prequalification documentation meets regulatory and customer-specific requirements.
- Maintain a comprehensive database of customer compliance documentation, including NDAs, insurance certificates, W-9s, and MSA agreements.
- Assist in internal audits related to customer onboarding and financial transactions.
Qualifications & Skills
Required:
2 years of experience in Accounting, Finance, Accounts Receivable, or a related role.
Experience with customer onboarding, prequalification, or compliance documentation.
Strong customer service and communication skills, with the ability to work directly with clients and internal teams.
Proficiency in ERP systems (Epicor preferred) and Microsoft Excel (VLOOKUP, Pivot Tables, data analysis).
Detail-oriented with excellent organizational and time management skills.
Ability to multi-task in a fast-paced environment while meeting deadlines.
Experience collaborating with multiple departments, including Sales, HR, Operations, and Finance.
Preferred:
Experience working in manufacturing, construction, or B2B industries.
Knowledge of customer prequalification platforms and compliance requirements.
Familiarity with credit analysis and collections.
