JOB SUMMARY: In support of the Access Mission and Strategic Commitments, the Program Assistant - Home Energy Assistance Programs (HEAP) provides HEAP administrative support and coverage of HEAP direct service staff responsibilities as needed.
ESSENTIAL FUNCTIONS and DUTIES:
- Administrative Support
- Maintain program voicemail box, distribute messages, and return customer phone calls
- File program and customer documentation
- Copying, scanning, mailing, faxing, and other administrative duties
- Assist program staff with customer support
- Coverage HEAP Direct Service Staff Responsibilities as Needed
- Fill in for HEAP staff as directed by the Supervisor or Senior Staff, including but not limited to the following:
- Operations Assistant/Front Desk Reception
- Greet customers and visitors and direct them to the appropriate department
- Answer multi-line telephone, forward calls, and take messages
- Forward phone calls and direct customers to the appropriate programs
- Schedule appointments for customers
- Learn essential duties and responsibilities of other HEAP staff, and provide coverage when needed
- Be a positive advocate for Access in the community
- Other duties as assigned
QUALIFICATIONS:
- High School diploma or equivalent
- Previous administrative experience is preferred
- Effectively works independently and as part of a team in a fast-paced environment
- Works well with a diverse group of directors, staff, and customers
- Shows compassion to all limited-resource individuals and families
- Reads and understands program regulations and Access policies and procedures
- Able to transport self as needed
- Good computer skills with working knowledge of email, word processing, and spreadsheet software
- Must be able to stand, sit, and be active for long periods
- Ability to respond effectively to emergencies
- Bilingual in Spanish and English preferred

PHYSICAL DEMANDS:
- Frequently required to: stand, walk, sit, file, and climb stairs
- Periodically lift or move up to 25 pounds
- Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and the ability to adjust focus

Pay: $16.35 per hour
