Job Summary:
We are seeking a highly organized and detail-oriented Office Assistant to join our team at a fast-paced security guard company in Chatsworth. The Office Assistant will be responsible for providing administrative support to ensure efficient operation of the office. The ideal candidate should thrive in a fast-paced environment, possess excellent communication skills, have the ability to multitask effectively, and be able to lift boxes when needed.
Responsibilities:
- Greet and assist visitors, clients, and employees in a professional and friendly manner.
- Answer and direct phone calls, take messages, and respond to inquiries promptly.
- Manage the company's general email inbox, ensuring timely and appropriate responses.
- Perform data entry, maintain accurate records, and update various company databases.
- Assist with the preparation and distribution of company documents, reports, and correspondence.
- Schedule and coordinate meetings, appointments, and travel arrangements for staff members.
- Monitor and maintain office supplies inventory, placing orders as needed.
- Assist in the preparation of office budgets and expense reports.
- Assist in the recruitment and onboarding process for new employees.
- Provide general administrative support to various departments as required.
- Lift and move boxes or other items as needed.
Requirements:
- High school diploma or equivalent; additional qualification as an Administrative Assistant or Secretary will be a plus.
- Proven experience as an office assistant, administrative assistant, or in a similar role.
- Proficient in using office software such as Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational and time management skills with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills.
- Ability to handle sensitive and confidential information with discretion.
- Ability to work independently and collaboratively in a team-oriented environment.
- Prior experience in a fast-paced environment is preferred.
- Ability to lift and move boxes or other items as needed
