Job Title: Compliance & ARB Manager, salary exempt
Location: Northshore Lake Hart, Orlando, Florida
Job Overview
The Compliance & ARB Manager is responsible for overseeing all aspects of the HOA Compliance and Architectural Review Board (ARB) processes, ensuring adherence to Florida Statute 720 s , and interpreting and applying the North Shore at Lake Hart’s governing documents and policies. This role includes conducting community-wide compliance inspections, processing related notices, addressing homeowner inquiries, and conducting site visits when necessary. Additionally, the Compliance & ARB Manager leads the Compliance Meeting, prepares materials, sets up both in-person and online meetings, presents violations for committee votes, prepares meeting minutes, posts minutes to the website, and processes any fines.
In collaboration with the Association Manager, the ARB Manager oversees the review and approval of ARB applications submitted by homeowners. Responsibilities include working with the Association Manager to apply Board-approved selections for paint colors and roofing materials, while other ARB applications are reviewed during ARB meetings. The ARB Manager is also responsible for hosting ARB meetings, tracking project completion, and maintaining accurate records of open and closed ARB files.
Additionally, the Compliance/ARB Manager will handle other duties and responsibilities as assigned by the Association Manager.

Compliance
Essential Duties & Responsibilities:
- Respond to emails and voicemails
- Conduct initial and follow-up compliance inspections, address immediate violations
- Process compliance notices, prepare for meetings/hearings, draft minutes, and process fines
- Manage ARB requests, meetings, approved applications, and document control
- Maintain open and closed ARB files
- Develop a rotational schedule for approximately 75 initial compliance inspections per week
- Host compliance committee meetings, obtain compliance committee chairman signature for minutes, and post minutes to the website
- Review and track ARB project completion
- Notify homeowners of project expiration if not completed
- Review the status of open ARB projects (projects are open for six months)
- Evaluate the prior year's operations and make necessary changes for improvement
- Proficiency with MS Office (Word, Excel, PowerPoint) and compliance software
- Managing Zoom meetings, email correspondence, and maintenance of ARB files (open and closed)
- Responsible for notices, minutes, data tables, meeting materials, and accounts payable documentation
- Act as a liaison with contractors and vendors as needed
- Assist with special projects, reserve studies, or seasonal tasks
- Perform other duties as assigned by the Association Manager
- Knowledge: Ability to interpret and apply Florida Statute 720, NSLH HOA governing documents, Compliance and ARB policies, property management procedures, fiscal/risk management principles, and office management practices.
- Skills: Strong leadership, written and verbal communication skills, computer proficiency (MS Office Suite, Zoom, compliance software), excellent customer service, and telephone etiquette.
- Abilities: Self-motivated, able to work independently, prioritize tasks, resolve problems proactively, manage emergency situations, and communicate effectively with the BOD, contractors, vendors, and homeowners. Ability to operate a golf cart.
- High School Diploma or equivalent
- On-the-job training
- Proficiency in relevant software and computer literacy
- May require lifting up to 50 lbs.
- Ability to stand, sit, walk, and occasionally climb
- May involve intermittent or prolonged periods of sitting or standing, including use of office equipment and computers
- Ability to work outdoors year-round in Florida's heat and humidity
- Flexibility to work extended hours or adjust work schedule when needed
