POSITION SUMMARY

Access Sciences Corporation is a nationwide professional services firm hiring a Proposal Coordinator to manage our proposal development and submission process. In this role, you will create compelling and persuasive proposals in response to solicitations, bid requests, and other related content describing our approach to solving a client's particular problem and the value to be realized by engaging with Access Sciences.

In this role, you will work with a diverse team of subject matter experts, Directors, and Project Managers across our service lines in a collaborative environment. You will recommend best practices based on your experience and implement process improvements to enhance efficiencies and increase our win ratio. POSITION REQUIREMENTS

  • Manage the internal evaluation process, including ranking opportunities across a decision matrix
  • Write clear, concise, and persuasive proposals and statements of work in response to client Requests for Proposal (RFPs), Requests for Quote (RFQs), Requests for Information (RFIs), and other opportunities based on established pursuit criteria and requirements indicated in the solicitation.
  • Research and gather information from various SMEs, past project work, past proposal and SOW constructs to develop a deep understanding of client needs and our company's capabilities.
  • Manage the entire proposal response and submittal process, including facilitating internal reviews, maintaining accurate version control, submitting agreed final proposals, vendor presentation collateral, and tracking and reporting on the prospect's decision-making timeline.
  • Proactively communicate status to impacted parties to ensure systems are updated appropriately (e.g., status change and expected revenue amount in Company CRM).
  • Confirm response and Company compliance with RFP / solicitation and contractual requirements.
  • Ensure all proposals comply with RFP / solicitation instructions and contractual requirements, including formatting, deadlines, and any specific guidelines.
  • Develop and maintain an evergreen library of standard, reusable content (e.g., project resumes, project descriptions, and fact sheets) to reduce time to respond, provide consistency, and create efficiencies in our proposal response process.
  • Make recommendations on optimal formats, styles, and graphics based on winning proposal best practices and analysis of winning / competitor responses.
  • Facilitate the process to complete case studies for recently completed projects.
  • Assist with market research across our target industries.

  • Able to creatively describe and present our approach, services, and value proposition. Our proposals should stand out from our competitors' proposals.
  • Problem-solver with a strategic mindset, approaching each proposal as a unique opportunity based on the prospect's specific requirements, constraints, maturity, and industry.
  • Able to facilitate and / or contribute to multiple concurrent projects, collaborating and delegating as appropriate to meet deadlines.
  • Express ideas, opinions, and recommendations with compelling supporting data.
  • Ability to be flexible, demonstrate critical thinking, and work effectively in fluid environments.
  • Able to engage and establish positive, respectful relationships with all levels of the organization.
  • Take the initiative to continuously learn and grow, setting and achieving goals for professional development.
  • EXPERIENCE AND SKILLS NEEDED

  • Bachelor's Degree in Communications, Journalism, English, or other related field.
  • Three (3) years of professional writing experience.
  • Excellent writing, editing, and proofreading skills and attention to detail. Precision and economy will be critical to be successful in this role.
  • Fluent in the Microsoft Office product suite.
  • Able to work effectively independently and in team settings
  • Highly motivated, with a demonstrated passion for excellence and taking initiative.
  • Excellent organizational and time management skills.
  • Familiarity with federal, state, or private sector RFP and procurement process preferred
