Job Description :

The Executive Administrative Assistant – Marketing will provide critical support to the marketing team, ensuring the smooth execution of marketing initiatives, professional education programs, and internal sales training. Key responsibilities include :

  • Marketing Material Management :

o Manage and ship sales literature and display materials, including conference booth items.

o Maintain inventory levels, reorder supplies, and track shipments.

o Prepare literature kits for new hires and coordinate business card orders.

  • Event and Meeting Coordination :
  • o Organize logistics for company-hosted events, including internal sales training, leadership meetings, and surgeon education programs.

    o Arrange catering, transportation, accommodations, and meeting schedules for visitors.

    o Support offsite company meetings, including regional sales meetings and national award trips.

  • Administrative and Marketing Support :
  • o Administer sales software and manage email marketing programs.

    o Maintain and monitor incoming email inquiries and ensure timely responses.

    o Track conference leads and coordinate follow-ups with sales representatives.

    o Compile reports on marketing campaign performance using analytics tools.

  • Other duties as assigned to support marketing initiatives and team operations.
  • Qualifications :

  • Bachelor’s degree in marketing, business, or a related field preferred.
  • 3–5 years of relevant experience in administrative support, marketing, or event coordination, preferably in the medical or healthcare industry.
  • Strong event planning and project management skills.
  • Exceptional organizational skills with strong attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in digital marketing tools, email management platforms, and analytics software.
  • Ability to work independently while collaborating effectively with cross-functional teams.
  • Strong ability to manage multiple projects and priorities in a fast-paced environment.
