About Us:
Accucare Nursing and Home Care is a leading provider of private duty nursing and home health services, dedicated to delivering high-quality care to medically fragile pediatric and adult patients. We are seeking a Clinical Systems Manager to optimize clinical workflows, ensure compliance, and enhance patient care through effective system management and training.
Position Overview:
The Clinical Systems Manager plays a vital role in overseeing patient records, onboarding and training nurses, ensuring quality assurance, and maintaining compliance with NYSDOH and Medicaid regulations. This role also focuses on KanTime utilization, process improvement, and managing clinical department operations.
Key Responsibilities: Patient Records & Compliance Management
- Ensure completeness and accuracy of patient records.
- Archive records for discharged patients (digital and paper).
- Supervise processing and filing of records.
- Fulfill records requests from families and payers.
- Develop and maintain administrative forms related to patient records.
- Utilize KanTime to improve clinical documentation and communication.
- Oversee compliance with DOH, Medicaid, and agency policies.
Nurse Onboarding & Training
- Conduct interviews with field nurses and nursing supervisors.
- Develop and revise training materials, including PowerPoints and guides.
- Provide in-person, virtual, and phone KanTime in-services for nurses and office staff.
- Train nursing supervisors on clinical policies, documentation, and processes.
- Continuously evaluate and enhance the nurse training program.
Clinical Department Operations
- Maintain organization and compliance in clinical activities.
- Assign cases and visits to nursing supervisors.
- Assist with physician orders, care plan updates, and documentation.
- Conduct QA chart reviews with the Director of Nursing.
- Organize and lead clinical department meetings.
- Serve as the agency liaison during DOH audits.
Quality Assurance & Process Improvement
- Lead the Quality Assurance (QA) Committee and organize quarterly meetings.
- Investigate and improve agency processes to ensure regulatory compliance.
- Review complaints and incidents, providing necessary follow-ups.
- Develop and implement new processes to enhance patient care.
- Perform quarterly patient chart and personnel record reviews.
- Collaborate with consultants to maintain compliance with regulations.
Technology & Office Management
- Serve as the KanTime system administrator, troubleshooting and optimizing usage.
- Manage Google Suite, Microsoft 365, Acronis, and other IT platforms.
- Oversee the distribution and setup of Chromebooks and laptops for clinical staff.
- Work with IT and vendors to resolve technical issues and enhance system efficiency.
Referrals & Intake Coordination
- Manage referral profiles and ensure accurate intake documentation.
- Communicate with referral sources and coordinate pre-intake visits.
- Track and update referral progress in Asana and KanTime.
- Support intake visits as needed.
Qualifications & Requirements:
✅ Preferred: Bachelor's degree in Healthcare Administration, Nursing, or related field.
✅ Experience: Minimum 3 years in clinical operations, quality assurance, or healthcare management.
✅ Strong knowledge of KanTime, EMR systems, and healthcare compliance.
✅ Familiarity with DOH, Medicaid, and home care regulations.
✅ Excellent organizational, analytical, and problem-solving skills.
✅ Ability to lead teams, manage projects, and meet deadlines.
Job Type: Full-time
Pay: $84,939.00 - $91,766.00 per year
