Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to support our small manufacturing business. The ideal candidate will be responsible for supporting management, ensuring smooth office operations, providing exceptional customer support, and helping the company to grow.
Duties
Perform administrative tasks such as scanning, filing, typing, copying, cleaning, mailing, and organizing to ensure efficient operation of the office
Inventory management
Anticipating and ordering supplies as needed
Creating vendor purchase orders
Process accounts payable matching packing slips and purchase orders to vendor invoices, investigating any discrepancies
Data entry into ERP software
Drive company vehicle to pick up supplies, run errands, and pickup and deliver customer parts
Scheduling repairs; vetting and supervising maintenance personnel
Entering customers’ purchase orders and sending order confirmations
Preparing customer shipments and packing lists
Managing on-time customer shipments and deliveries
Invoicing customers and processing payments received
Research and resolve any invoice discrepancies or issues
Exhibit polite and professional communication via phone, email, and mail
Greet and support customers and visitors
Communicate with Owner, General Manager, and warehouse staff
Prepare reports
Reconcile expenses
Assist with writing ads and hiring personnel
Establish and improve administrative systems and processes
Triage inboxes and help prioritize responses, ensuring fast response time to clients, employees, and vendors
Help manage superiors’ workloads
Occasionally assist owner with personal errands or projects
Additional duties and projects as assigned by management
Experience
2 years Administrative Assistant Experience
Experience with Abbyy FineReader, Visioneer, and/or Quickbooks software a plus
Experience with ECI/E2/JobBoss2 a HUGE PLUS
Skills & Qualifications
Proficient in Microsoft Suite (Word, Excel, Outlook)
High Degree of professionalism, confidence, and strong problem resolution capabilities

Pay: $18.00 - $21.00 per hour
Expected hours: 20 per week
