Summary / Objective : We are seeking a dedicated and organized bilingual Receptionist / Office Support professional to join our team. This role provides general office support with clerical activities and assists the HR Generalist with administrative duties.

Essential Functions :

  • Answer telephones and direct callers to the appropriate associates.
  • Greet and direct visitors, ensuring a welcoming environment.
  • Take and retrieve messages for personnel and provide information about the company.
  • Receive, sort, and forward incoming mail; manage publications.
  • Coordinate express mail services (e.g., FedEx, UPS).
  • Assist with ordering, receiving, and distributing office supplies; maintain inventory.
  • Perform clerical duties such as photocopying, faxing, filing, and collating.
  • Maintain coffee stations, ensuring they are stocked and clean.
  • Support company events in setup, execution, and cleanup.
  • Assist the HR Generalist with filing, data entry, and record keeping.
  • Help prepare materials for onboarding and training.
  • Maintain employee records with confidentiality.
  • Assist in scheduling interviews and coordinating the hiring process.

  • Requirements :

  • Bilingual (English / Spanish).
  • High school diploma or equivalent; associate's degree or relevant coursework preferred.
  • Previous experience in a receptionist or administrative support role preferred.
  • Familiarity with office equipment and basic computer software (e.g., MS Office Suite).
  • Strong organizational skills with attention to detail.
  • Ability to multitask and prioritize effectively.
  • Capability to handle sensitive information with confidentiality and integrity.
  • Ability to resolve issues or conflicts calmly and effectively.
  • Work Environment : This role operates in a professional office setting, using standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

    Physical Demands : This primarily sedentary role requires the ability to lift files, open filing cabinets, and perform necessary bending or standing.
