Job Description:
As the Office Manager & Dispatcher, you will be responsible for overseeing the day-to-day operations of the office while ensuring efficient scheduling and dispatching for our plumbing team. You will lead the other dispatchers in the office. You will work closely with the Office Administrator and the General Manager to ensure smooth office operations and provide excellent customer service. Your primary duties will include managing accounts receivables, coordinating job schedules, optimizing call flow, and leading other dispatchers in the office.
Key Responsibilities:
- Office Management: Handle all aspects of office administration, including accounts receivables, filing, and document management.
- Dispatching: Coordinate and schedule plumbing jobs for the team, ensuring efficiency and maximizing productivity. Move calls around as needed to optimize workflow and customer satisfaction.
- Team Leadership: Lead and train other dispatchers in the office to ensure smooth operations and high standards of customer service.
- Collaboration: Work directly with the Office Administrator and General manager to ensure seamless communication and overall operational efficiency.
- Process Improvement: Continuously identify areas for improvement in office procedures and develop strategies to enhance overall office efficiency and service delivery.
- Customer Interaction: Serve as the point of contact for customers regarding job scheduling, issues, and inquiries.
Qualifications:
- Proven experience in office management and dispatching, ideally in a service-based industry (plumbing or similar).
- Strong leadership and team management skills.
- Exceptional organizational skills with the ability to multitask and prioritize effectively.
- A proactive approach to identifying inefficiencies and developing streamlined processes.
- Excellent communication skills, both written and verbal.
- Experience with accounting software or systems for accounts receivable management.
- Ability to work independently and as part of a team.
- Strong problem-solving skills with an emphasis on finding better ways to do things.
- Ability to thrive in a fast-paced, high-pressure environment.
