Job Description
JOB SUMMARY
Responsible for managing the administrative functions of the generator service department
ESSENTIAL JOB FUNCTIONS
Request, receive and apply purchase orders (PO)
Work order processing and data management of specific accounts
Invoice processing
Manage the warranty aging report
File and reconcile warranties with Generac
Print previews, filing and logging of all completed warranty claims - daily
Input and close warranty claims on web portal - daily
Batch tech hours and mileage into business information system
Reconcile Service Productivity Report
Send credit information / payment terms to customers and track
Coordinate with Service Sales Consultant to enter preventative maintenance (PM) agreements into FieldServio
Electronic data maintenance and management
Typing and logging of all service quotations - as needed
ADDITIONAL JOB FUNCTIONS
Clerical duties (field all generator service calls, filing, records management, correspondence, etc.)
May be required to respond to service calls after-hours in the absence of the Service Manager
Additional duties as assigned
Experience and Skills
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES (including physical and work environment)
Working knowledge of basic accounting principles relating to invoices
Working knowledge of Microsoft Office applications such as Excel, Word, Outlook and Internet Explorer as well as the ability to learn the Company's FieldServio business information system
Skilled in the areas of interpersonal communication, organization, accuracy, and professional verbal and written communication, and detailed oriented
Must be able to maintain and protect the confidentiality of all Company proprietary information and trade secrets
Ability to work independently on assigned tasks as well as accept direction from Management
Ability to apply teamwork principles when working with Company personnel
Work environment requires exposure to computer screen, typing / mouse usage, climbing, and extended periods of sedentary work.
Ability to lift materials up to 10 pounds
MINIMUM JOB QUALIFICATIONS (education, work experience, licenses / certifications)
Associate's degree or equivalent technical school, or 2- 3 years of accounting work experience, or any equivalent combination of education and experience
