What are the responsibilities and job description for the Proposal Coordinator position at Achen-Gardner Construction LLC?
Position Summary : As a Proposal Coordinator, you will support all aspects of the proposal design and development process. This position reports to the Proposal Manager and will work collaboratively with the rest of the business development and marketing team. Working hand-in-hand with operations leaders, project management, estimators, and field supervision, the Proposal Coordinator will help to strategically position Achen-Gardner to win qualifications-based opportunities.
Job Functions : General day-to-day duties include, but are not limited to :
- Collaborating with the Proposal Manager, marketing staff, and other employee-owners and departments to develop, organize, design, and produce high-quality Statements of Qualifications and interview presentations to win qualifications-based work.
- Attending and contributing to internal proposal kick-off meetings, milestone reviews, and post-submission activities.
- Collaborating with technical experts and developing proposal graphics and content.
- Tracking the collection of forms, information, and data required for each pursuit.
- Designing page layouts, creating informational graphics, and editing text for proposals for qualifications-based work.
- Collaborating with Marketing Coordinators, graphic designers, and / or outsourced (contracted) visual communication specialists to develop informational graphics and videos to support proposal and interview content.
- Managing a catalog of pursuit materials including : resumes, project descriptions, technical writing, business development collateral, etc.
- Conducting research, tracking analytics, and creating marketing-related reports.
- Submitting public records requests and acquiring debrief materials (scoring and ranking data and competitor's Statements of Qualifications and interview slides) to share with the team and analyze how to improve our efforts in the future.
- Maintaining a wide range of data via Dynamics 365, our Customer Relationship Management (CRM) system.
- Documenting field work through photography and videography with a marketing and branding focus.
- Editing, organizing, and maintaining a database of project photos and videos.
- Coordinating and assisting with the company's networking, public relations, and business development efforts including participation in professional, client, and community organizations, associations, and events.
- Other tasks in support of our Business Development and Marketing efforts.
