Position Overview
As the Administrative Assistant you will play a key role in providing personalized and timely administrative support to Executive Management. You will work collaboratively with other staff and external contacts and maintain confidentiality in handling sensitive information. You are approachable and well organized, and able to accomplish objectives with minimal guidance.
Job Responsibilities
- Manage and maintain Executive (Owner & General Manager) schedule, including meetings, appointments, and travel arrangements for both business and personal needs
- Assist in preparing reports, presentations, and documents
- Handle correspondence including emails and phone calls, and prioritize responses
- Handle confidential information with discretion and professionalism
- Assist with the Executive time management and task prioritization
- Assist with preparing and organizing meetings, including booking venues and coordinating logistics
- Participate in meetings to take minutes, document decisions and tasks, and distribute completed minutes to appropriate participants
- Manage and coordinate staff lunches and events
- Run errands that may be of a business or personal nature as required
- Collaborate with team members to ensure smooth office operations

- Other duties as assigned by supervisor and in support of the Company.

Skills and Qualifications
- Previous experience in an administrative role
- Strong written and verbal communication skills
- Exceptional attention to detail and ability to maintain confidentiality
- Proficient in Microsoft Office Suite and Quickbooks
- Problem solving ability and a proactive approach
- Positive attitude and willingness to take on new tasks as needed
- Excellent prioritization, and effective time management to succeed in a semi-autonomous, fast-paced environment.
Schedule and Benefits
This position is full-time, hourly, approximately 40 hours per week, Monday through Friday. Occasional morning, early evening, and weekend availability may be required.
