Position Overview: Acme Concrete Paving, Inc. is seeking a detail-oriented and organized Administrative Assistant to join our team. This position will support our equipment and maintenance operations by handling work orders, maintaining equipment records, and assisting with various administrative tasks. Responsibilities:
- Prepare, process, and complete work orders from the shop and Tenna inspections.
- Send work orders to field mechanics.
- Run equipment scheduled maintenance reports and distribute them to the shop and jobsites.
- Modify equipment scheduled maintenance checklists as requested and set up maintenance schedules for new equipment.
- Prepare end-of-year equipment inspections and process all related paperwork and pictures.
- Maintain the annual repair schedule as repairs and scheduled maintenance are completed.
- Prepare truck spare cab books as needed.
- Create and organize new equipment keychains and maintain keychain stations as equipment is purchased or sold.
- Scan axle spacing reports and weight slips into the network and hard copy binders; maintain permit tracking spreadsheet.
- Run weekly equipment off-line Tenna reports.
- Assist with fuel invoice entry and cross-train on fuel invoice processing.
- Provide support to employees with various requests and paperwork.
- Assist drivers with DVIR inspections and Gorilla logbook training.
- Handle various scanning, filing, data entry, and administrative tasks.
- Cross-train with the current Equipment Asset Administrator on all systems and processes.
Qualifications:
- High school diploma or equivalent.
- Minimum of 2 years of experience in a clerical position.
- Strong organizational skills and attention to detail.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook).
- Ability to manage multiple tasks and meet deadlines.
- Excellent communication and interpersonal skills.
Salary Range for this position is $18.00 to $21.00 per hour.
