Duties

Key Responsibilities:

  • Administrative Support: Provide general administrative support including managing schedules, organizing meetings, and handling correspondence.
  • Reception Duties: Greet visitors, handle incoming calls, and manage the front desk with professionalism and courtesy.
  • Document Management: Prepare, file, and manage documents, reports, and records accurately and efficiently.
  • Office Supplies: Monitor and maintain office supplies inventory; place orders and ensure stock levels are adequate.
  • Data Entry: Enter and update information in databases and spreadsheets with precision.
  • Meeting Coordination: Assist in scheduling meetings, preparing meeting rooms, and taking minutes when required.
  • Mail Handling: Sort, distribute, and handle incoming and outgoing mail and packages.
  • Customer Service: Assist clients and visitors with inquiries and provide exceptional customer service.
  • Facility Management: Ensure the office environment is clean, organized, and conducive to productivity; coordinate with maintenance staff as needed.

Requirements

Qualifications:

  • Education: High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.
  • Experience: Previous experience in an office environment or administrative role is preferred but not required.
  • Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment (e.g., printers, copiers).
  • Communication: Excellent verbal and written communication skills.
  • Organizational Abilities: Strong organizational and multitasking skills with attention to detail.
  • Interpersonal Skills: Friendly and professional demeanor with the ability to work well with others.
  • Problem-Solving: Ability to handle unexpected issues and find practical solutions.
