Sales Administrative Assistant
Job Summary
- A premier fast-growing acrylic/metal manufacturer and designer of displays and industrial solutions company is looking for Sales Administrator to support our sales organization. Our company serves some of the biggest names in retail and industrial markets. This role is responsible for providing administrative support to our sales team and our Chief Revenue Officer. The sales administrator will help with managing customer data inside our CRM system, assist in processing work orders, assist in the invoice process, maintain sales records and reports, handle customer inquiries, and work with our project management team to ensure timely delivery of products. This role is essentially the administrative backbone of the sales department. To be successful in this role, you will need be well-organized, have excellent data entry skills, strong time management skills, the ability to communicate effectively across the organization and enjoy being part of a team.
General Accountabilities
· Assists the office team with daily administrative duties and completes a broad variety of administrative tasks that include setting up staff meeting and client meetings; and helping with travel plans for staff as needed.
· Assist in order processing. Receiving and processing sales orders via phone, email, or online platforms, and verifying accuracy of details,
· Customer data management. Maintaining and updating customer information in the CRM system, including contact details, purchase history, and account status.
· Assist in providing weekly and monthly Sales reporting. Compiling and reporting on sales activities, generate reports on sales performance, sales trends, and reporting on sales goal status.
· Provide Customer service support as needed. Answering customer inquiries, addressing clients' concerns, and providing information regarding orders, products, and pricing.
· Assist the estimating and quoting team to ensure that all customer requirements and product specifications are being addressed and providing all the necessary information needed.
· Sales document management: Maintaining proper filing systems for sales documents, including contracts, purchase orders, and delivery confirmations.
· Work closely with project management, material management, and logistics to ensure smooth and timely order fulfillment.
· Support the Sales team with setting up appointments, preparing sales presentations, and managing travel arrangements for sales representatives.
Skills

- Proficiency in HubSpot or another CRM system is a plus

Experience Required
- 3-5 years administrative support (preferred)
- High School Diploma required
Job Type: Full-time
Pay: $45,000.00 per year
