Job Description:
We are seeking a dedicated and detail-oriented professional to join our team as a School Administrative Assistant/Exam Proctor. This dual-role position involves managing administrative tasks within the school office and overseeing the administration of computer-based examinations. The ideal candidate will excel at multitasking, possess strong communication skills, and demonstrate a commitment to maintaining the integrity of our testing services. The position requires working on Saturdays, with an alternate weekday off to maintain a five-day workweek.
Key Responsibilities:
Administrative Support:
- Coordinate and oversee daily office operations to ensure efficiency and effectiveness.
- Serve as the first point of contact for students, staff, and visitors, providing information and assistance as needed.
- Manage student records, including enrollment, attendance, and academic performance, ensuring confidentiality and accuracy.
- Schedule and coordinate meetings, appointments, and events for school administrators and faculty.
- Handle incoming and outgoing correspondence, including emails, letters, and packages.
- Assist in the preparation and distribution of reports, newsletters, and other communications.
- Maintain office supplies inventory and place orders as necessary.
Exam Proctoring:
- Prepare examination rooms by setting up computers and necessary materials in accordance with testing protocols.
- Verify the identity of test candidates and ensure compliance with exam procedures and regulations.
- Monitor test-takers during examinations to prevent and detect any instances of academic dishonesty.
- Address and resolve any technical issues that arise during testing sessions.
- Collect and securely handle test materials post-examination, ensuring proper documentation and reporting of any irregularities.
Qualifications:
- High School Diploma or equivalent; Associate’s degree or higher preferred.
- Minimum of one year of experience in customer service, administrative support, or a related field; experience in an educational setting is advantageous.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment.
- Strong typing skills, with a minimum speed of 40-45 words per minute.
- Excellent organizational skills and the ability to manage multiple tasks simultaneously.
- Strong verbal and written communication skills, with the ability to interact effectively with diverse populations.
- Ability to work independently with minimal supervision and as part of a team.
- Flexibility to work on Saturdays, with an alternate weekday off.
- Must be reliable, punctual, and possess a strong work ethic.
Preferred Qualifications:
- Experience with student information systems or similar databases.
- Prior experience in exam proctoring or test administration.
- Familiarity with basic troubleshooting of computer hardware and software issues.
