Position Overview
The Administrative Client Service Associate serves as the first point of contact for clients, ensuring an exceptional experience by addressing inquiries and building strong relationships. This role supports financial advisors across multiple locations in the Carolinas, primarily through appointment scheduling and calendar management.
In addition to client service responsibilities, the associate will handle administrative tasks, including managing mail, coordinating events, and supporting the operations team. This position requires a proactive individual with exceptional organizational skills, attention to detail, and a commitment to continuous improvement.
Key Responsibilities
- Build and maintain strong client relationships by providing prompt and courteous service.
- Schedule appointments for financial advisors across multiple locations.
- Utilize technology efficiently in a paperless, systematized environment.
- Provide administrative support to all ACT Advisors team members, including clerical tasks and phone management.
- Assist in coordinating seminars and events.
- Manage mail distribution and shipping/receiving duties.
- Contribute to process improvement and suggest strategies for firm growth.
- Perform other duties as assigned to support business operations.
Qualifications
Required Skills and Experience:
- Associate degree or equivalent experience (required).
- Strong written and oral communication skills
- Proficiency in intermediate mathematical tasks (e.g., percentages, decimals, fractions)
- Demonstrated ability to multi-task in a fast-paced environment.
- Proven success using software and hardware platforms at an intermediate level
- High level of discretion, confidentiality, and professionalism in client interactions.
Preferred Skills and Experience:
- 1 year of administrative experience.
- Proficiency in Microsoft PowerPoint or similar tools.
