Job Description
The Architectural Purchasing Agent is responsible for supporting the procurement process within an architectural firm by placing orders for materials and services with vendors, maintaining supplier relationships, tracking shipments, creating and managing purchase orders, and ensuring timely delivery of items needed for architectural projects. This role requires performing market research to find the best prices and quality while adhering to company policies and budget constraints. Key duties include initiating purchase orders, communicating with vendors, resolving delivery issues, and maintaining accurate purchasing records. Administrative or clerical duties necessary to support purchasing functions are required.
Responsibilities
- Generate purchase orders from requisitions and submit them to vendors, or place online orders with vendors for architectural materials and services.
- Establish and maintain relationships with suppliers, particularly those specializing in architectural materials, and maintain vendor contact records.
- Conduct market analysis in conjunction with the Purchasing Agent to identify potential suppliers, compare prices, and ensure competitive pricing for architectural materials.
- Monitor inventory levels of architectural materials and identify reorder points to maintain optimal stock levels. Perform manual data entry of inventory shipments or receipts.
- Follow up on purchase orders to ensure timely delivery of architectural materials and resolve any discrepancies with vendors.
- Maintain accurate records of purchase orders, invoices, and delivery dates in conjunction with the purchasing agent.
- Procure product samples as requested, label them per client designations, box for shipment, and prepare shipping labels. Keep detailed records of samples requested and submitted.
- Communicate with internal project managers and foremen regarding purchase requirements and delivery updates for architectural projects.
- Handle LEED, DC Green, FSC documentation, and submittals as required.
- Source and purchase parts for both portable and stationary machinery at the request of the building engineer, as well as materials needed for building maintenance and operation.
Essential Skills
- Proficiency in Microsoft Office products (Word, Excel, PowerPoint, and Outlook)
- Experience with blueprints and project management software
- Ability to read blueprints, architectural drawings, specification sheets, etc.
- Excellent organizational skills and attention to detail
- Ability to manage multiple projects simultaneously
- Understanding of the fabrication and installation process of architectural millwork products
- Familiarity with quality and health and safety standards on a construction site
- Associate’s or Bachelor’s degree in architecture, construction, or engineering preferred. Work experience in applicable construction trades is acceptable in lieu of a degree.
- Knowledge of Architectural Woodwork Institute (AWI) standards
- 2 years of architectural/construction project coordinator experience, preferably with a focus on custom millwork, casework, and cabinetry projects
- Experience with analyzing job requirements, defining project scope, and developing project timelines for submittals, fabrication, and installation
- Experience with RFI, change orders, estimation, and quality improvement
- Experience in commercial construction
Work Environment
Opportunity to work on a hybrid schedule after 60 days of employment. Flexible schedule with project site visits. Local firm with the opportunity to work closely with the team and see projects through from design to completion. Work on exciting commercial projects such as M&T Stadium.
Pay and Benefits
The pay range for this position is $28.00 - $38.00/hr.
