Are you detail-oriented and passionate about organization? Actalent is seeking to hire a dedicated Document Control Specialist to ensure documents are meticulously managed and easily accessible.
Key Responsibilities:
- Demonstrate excellent organizational, customer service, and time management skills, with a strong attention to detail, completeness, and accuracy.

- Verify that documents and deliverables conform to project contract requirements, project procedures, and company policy.
- Execute daily activities within the Document Management system for respective technical areas.
- Process the latest version of documents (reviewed and/or ready for issuance) to ensure the latest approved revision is available and used by project personnel.
- Control the issuance and release of documents, including drawings, parts, specifications, etc., per company procedure.
- Communicate with document originators and engineering personnel to resolve discrepancies and compile required changes to documents. Maintain close relationships with project team members to ensure support is available.
- Collaborate with contractors and supplier counterparts to train, guide, and ensure document management objectives are met.
- Carry out project close-out activities and ensure handover to business partners, ensuring the accuracy and quality of the final turnover.
- Identify opportunities within document management to integrate effective workflow processes to enhance the efficiency of the project team.
- Train both internal project team members and external contractors or suppliers.
- Reprioritize tasks as needed, when required.
- Travel up to 15% of the time.
- Assist with other duties as assigned.

Additional Skills & Qualifications:
- Minimum of four (4) years of experience in document control/management within the oil and gas industry, preferably with an owner/operator or an EPC (Engineering / Procurement / Construction) organization.
- Certification in Quality or Lean Management (e.g., ISO-9001, Six Sigma, PMP).
- Professional-level Aconex Accreditation.
- Proficiency in Microsoft Office applications (Word, Excel, Teams, and Outlook) along with other PC skills.
- Extensive experience with engineering documentation and procedural materials for internal company use.
- Ability to audit contractors' and suppliers' document management activities within Aconex to ensure adherence to project document control procedures.
- Capability to audit vendors' document management submittals, ensuring compliance with project document control procedures.
- Comprehensive knowledge of Oracle’s Aconex Document Management System (Modules / Tasks, Documents, Mail, Packages, Tenders, Workflows, Directory, and Set-up) and support for Document Control processes within a project, ensuring data integrity of the Aconex system.
- Demonstrates business acumen through exposure to business-related activities such as accounting, financing, purchasing, and contracts.
- Experience working in regulated environments concerning PHMSA, FERC, DOT, BESE, PSM, etc.

Pay and Benefits
The pay range for this position is $31.25 - $42.30/hr.
