As an Administrative Assistant at Action Community Management, you will provide essential front-office support in a fast-paced, office environment. Your primary responsibility will be to respond to on-line requests from homeowners and provide some phone support.
Duties
Major Tasks, Responsibilities and Key Accountabilities
- Provides exemplary customer service.
- Assists with billing issues and research account information as needed.
- Assists to track and record charges.
- Retrieves voice mail message and returns or forwards calls as appropriate.
- Maintains electronic and hard copy filing system and efficient information retrieval system.
- Performs clerical duties which include photocopying, faxing, operating postage machine, and preparing large volume documents for mailing.
- Maintains key fobs and access cards and secures the office and telephone system at close of day.
- Assist with phone support.
- Assists with any special projects as assigned.
- Assist some with Accounts Payable and Accounts Receivable duties
- Manage customer support queue
Requirements
Nature and Scope
- Must possess excellent verbal and written communication skills.
- Will be communicating with all levels of personnel; clear and concise communication is a must.
- Excellent customer service and organizational skills are required.
- Must be accurate, detail-oriented, and dependable.
- Must be a self-starter and can work independently without supervision.
- Must have strong multi-tasking skills and meet reasonable deadlines.
- Must have a positive and professional appearance, attitude, and demeanor.
- Must consistently contribute as a team player.
- May be involved in mildly difficult situations.
- Need strong Microsoft skills in Word, Excel and Teams is preferred. Quick learner with software programs. Knowledge is a plus but not required.
Nice To Haves
- Knowledge of Community Association Management is preferred.
