Job Overview
The Operations Administrator will be responsible for a variety of tasks including payroll for our off-site employees, assisting with inventory management, shipping, errands, facilities maintenance oversight, and assisting with administrative projects as needed. While most work will be in managing administrative functions, there may be times you must assist with leadership coverage at the venues within USO.
Responsibilities and Duties
Facility Oversight
· Daily package and mail retrieval
· Answer phones and disseminate information
· Running errands as needed
· Transport items to and from USO as needed
· Assist in managing inventory, stockroom, equipment, shipping, and packaging
· Manage vendors to upkeep 7K (water, pest, cleaning, etc.)
· Assist Leadership and Management in preparing the space for internal events
USO Responsibilities
· Assisting with additional projects as needed by Leadership and Management
· Managing live schedule updates and processing shift trades
· Long term documentation project management
· Attend weekly meetings with the Management team
· Oversight of venue opening/closing procedures
· Be present at Fight Call and Mic Check
· Actively participate in Show Communication meetings
· Oversight of attendance and backstage presence
· Supporting in onboarding process
Leadership
· Actively engage cast members and staff to foster a positive, productive, and safe environment
· May be called upon to help teach and train operational processes.
Administration
· Responsible for the day-to-day office administrative work including staff schedules and timekeeping
· Generate operational reports for management as needed
· Audit and place orders for equipment or supplies
Facility and Documentation
· Maintain a clean, safe and organized venue
· Utilize “Teams” platform to maintain operations communication and documentation amongst Leadership
· Assist in annual scheduling and implementation of regulatory training: CPR, First aid, Weapons Training
· Responsible for venue safety and sustainment of shows.
· Be flexible and accommodating. As business needs change, the scope of your role may vary or broaden.
Qualifications and Required Skills
· Must display an in-depth knowledge and understanding of the venue’s show, elements, and operations.
· Must be available five days a week, including ongoing availability on weekends
· Effective communication (written and oral)
· Discretion and professionalism
· Proficiency in computer skills, and Microsoft programs
· Must be team oriented
· Utilize recording devices to record shows
· Drivers License
