We are looking for an Operations Coordinator to join our dynamic team. The ideal candidate will maintain vendor and customer files. Vendor follow up. Maintain calibration system and documents. Training of Operations’ associates including documentation. Update ISO controlled documents through eQMS. Maintain DOT required documents for company vehicle. Maintain SDS, plant safety checklist, Job Hazard Analysis (JHAs), and safety plans. OSHA, MOSHA, NFPA, ANSI, regulatory requirements research. Coordinate safety training. Regulatory research. Administratively assist VP Operations.
Responsibilities:
- Vendor file setup - Ensure that the proper forms are sent to the vendors and received back from the vendor for them to be set up in M2M and added to our approved vendor list.
- Critical, Noncritical and Supply Vendors – Maintain, file, and update hard copy and electronic vendor files and records. These records include vendor communications, NDA’s, C of C’s/C of A’s, quality issues, SCARS, vendor surveys/audits, ISO certificates, quotes, price increases, regulatory request for REACH/RoHS, Prop65, Latex Free statements, and fire-retardant statements. Request for Safety Data Sheets (SDS) and tech sheets. Tracking of yearly vendor performance.
- Maintain Prop 65 data file for vendors
- Service Vendors – Maintain, file, and update hard and electronic vendor files and records. These records include vendor communications, NDA’s, quality issues, SCARS, service/repair tickets, vendor surveys/audits, ISO certificates, quotes, price increases. Request for Safety Data Sheets (SDS) and tech sheets. Request for Certificate of Insurance (COI’s), business license. Tracking of yearly vendor performance.
- Calibration and Consultant Vendors- Maintain, file, and update hard copy and electronic vendor files and records. These records include vendor communications, NDA’s, C of C’s/C of A’s, quality issues, SCARS, vendor surveys/audits, ISO certificates, calibration standard certifications, and quality certifications, quotes, price increases. Tracking of yearly vendor performance.
- Calibration vendor request for yearly service – track service.
- Coordinate calibration issues with the appropriate calibration vendor.
- Review and maintain calibration records for calibrated equipment used to ensure the quality of our products.
- Customer quality file setup - Ensure that all required customer documentation is saved both electronically and hard copied into the customer file. These records include C of C’s, communication, NDA’s, Quality Issues, CARS, customer surveys, regulatory request such as REAH/RoHS, Prop65, and latex free statements, PO’s, drawings, technical/product specs., and Quality criteria’s.
- Revise DMR’s and update records when there are changes to the product (ECO’s, BOM, label or drawings) or the record (tooling repairs/releases and First Article Inspection).
- Update ISO controlled documents.
- Train Operations’ area on changes to the controlled documents.
- Document the training to quality documentation for Operations’ areas.
- Maintain SDS for all chemicals on company property. Review SDS for changes in PPE, HMIS ratings, expiration dates, usage, and storage requirements.
- Maintain safety documents and records.
- Complete safety inspections and safety checklist. Recorded and updated safety documents, as necessary.
- Maintain safety equipment stock (first aid supplies, glasses, gloves, respirators, and filters.
- Coordinate new hire safety training – Develop and maintain training for IE.
- Coordinate Yearly, Biyearly, and Tri-annually safety training Develop and maintain for IE.
- Maintain records - DOT physical and FIT test.
- Assure ongoing compliance with quality and industry regulatory requirements.
- Prioritize work and meet deadlines.
- Recognize and maintain the confidentiality of all materials in the work setting.
- Prepare documents yearly for documents storage and purge.
- Clerical duties for VP Operations.
Education and Experience:
- High School diploma or general education degree (GED); Associate degree preferred, or one to three years related experience and or training; or equivalent combination of education and experience.
- MS Office (Excel, Word, Outlook, PowerPoint, Access), M2M.
- Adequate experience as a coordinator in a business environment required
- Adequate experience in technology and general office equipment
- Excellent verbal and written communication skills
- Valid driver's license required
- Must possess excellent communication skills

Pay: $45,000.00 - $55,000.00 per year
