JOB DESCRIPTION:
Title: Service Advisor
Reports To Service Manager
Summary;
The Service Advisor will be responsible for completing the administrative tasks required for the effective and efficient operations of the service department. This position performs such duties as scheduling service appointments, completing repair orders, and promoting the sale of parts and accessories through work orders. This position also assists the parts manager with parts sales, miscellaneous filing, and cashiering.
Job Duties:
1) Writes up customer's vehicle/equipment problems accurately and clearly on repair order, including vehicle identification number.
2) Promotes sale of parts and accessories to all customers: walk-in, telephone or internal technicians
3) Achieves maximum customer satisfaction with superior customer service at all times to current and potential customers;
4) Keeps abreast of all new products and updates, continually upgrades training
5) Procures all parts required by customers or technicians as requested
6) Registers all lost sales to aid in further development of inventory breadth
7) Prepares parts invoices and credit notes for all parts for all work orders
8) Operates a computer terminal to carry out day to day functions and requirements
9) Schedules service appointments. Obtains customer and vehicle data prior to arrival when possible.
10) Greets customers in a timely, friendly manner and obtains vehicle information.
11) Performs walk-arounds with customers to verify complaints and point out additional repairs that may be required, including bodywork. Specific effort to sell seasonal service specials as required.
12) Charges out sublets at correct markup to repair orders.
13) Refers to service history, inspects vehicle/equipment, and recommends additional needed service.
14) Coordinates with parts department to order needed parts.
15) Provides a complete and accurate written cost estimate for labor and parts.
16) Establishes "promised time." Checks with shop foreman, if necessary.
17) Checks on progress of repair throughout the day. Contacts customers regarding any changes in the estimate or promised time, explains cost and time requirements in detail, and gets proper authorization, including notes on the repair order with date, time and who the authorization came from, before any additional repairs are performed.
18) Maintains strong working knowledge of warranty parameters for the major component suppliers and advises customers accordingly.
19) Explains completed work and all charges to customers.
20) Receives customer calls for field service work and schedules the field service techs accordingly in conjunction with the direction of the Service Manager
21) Performs time clock edit and posts sublets to repair orders on a daily basis. Performs warranty checks and determines appropriate application of any warranty service allowance to apply on each job.
22) Provides additional information and explains completed work and all charges to customers as required
23) Maintains high customer satisfaction standards.
24) Responsible for maintaining the customer data base on the mainframe or designated computer system (adds / changes / deletes).
25) Maintains correct coding and inputs for repair order processing. Completes a final check of repair orders for parts and sublet inclusion prior for final closing.
26) Acquires purchase orders for sublets and shop supplies as required.
27) Handles telephone inquiries regarding appointments and work in process
General:
1) Becomes familiar with and complies with the company’s Health & Safety Manual. Reports any unsafe practices to a manager.
2) Maintains a professional appearance and neat work areas
3) Other duties may be assigned
Education and/or Experience Required
1) High school diploma or general education degree (GED) required
2) Post-secondary diploma or trade certification preferred
3) Two to four years related experience and/or training; or equivalent combination of education and experience.
4) Proficient in Microsoft Office tools and the use of a calculator
5) Accurate data entry skills
6) Valid Driver’s License

Work Conditions
