Job Title: Volunteer Coordinator Department: Volunteer Services
Job Status: Full-Time, Monday through Friday 9am-5pm Classification: Non-Exempt
Reports To: Director of Volunteer Services Effective Date: March 27, 2025
Job Summary:
The Volunteer Coordinator provides administrative support for Action Wellness volunteers under the direction of the Director of Volunteer Services. This role is essential for ensuring that the agency’s volunteers are supported, scheduled and engaged in meaningful work that directly contributes to Action Wellness’ mission.
Essential Job Duties:
Volunteer Program
- Schedule and facilitate orientation of new volunteers monthly.
- Assist in evaluating volunteer(s) performance through direct observation to identify fit for Buddy program.
- Ensure initial invite and reminders for new volunteer orientation is emailed timely.
- Coordinate the scheduling, delegation and provide direction to volunteers assisting with orientation.
- Schedule volunteer placement meetings and maintain online volunteer applications, background checks (criminal and child abuse), and a variety of required new volunteer paperwork.
- Administer Criminal and Child Abuse Background check online and follow-up with background check results
- Initiate payment for background check applications
- Develop tracking system to renew background checks (criminal and child abuse) every five (5) years
- Facilitate training programs (Buddy and Universal Precaution and Infection Control) for volunteers including: set-up and breakdown of training area and order boxed lunches.
Events
- Responsible for scheduling and organizing a variety of volunteer festivities including other events such as: Pride, Outfest, Code Red, Disability Pride, Educational Outreach, community events and health fairs.
- Represent Action Wellness at special events and delegate assignments of volunteers to support event.
Immediate Seating
- Daily management of Immediate Seating Activities:
- Manage daily website, ticket requests, solve customer concerns, print labels and disclosure of inserts.
- Update Immediate Seating information in Salesforce, telephone line and Action Wellness Lobby bulletin board.
- Support Immediate Seating prospective and current volunteers, reservationist, as well as provide training to volunteers.
Office Support
- Lead the identification of volunteer service opportunities by processing the “volunteer request form”, coordinate and schedule volunteer office support.
- Provide guidance, support and collaboration of volunteer(s) along with the requesting department.
- Maintain volunteer calendar and schedule by updating weekly via Groupwise.
Supplies
- Responsible for ensuring adequate supplies are on hand for the volunteer department:
- Snacks and beverages (sodas)
- Condoms, COVID test and give away items
- Conduct an inventory audit monthly of volunteer supplies.
Knowledge, Skills and Abilities
- Ability to organize and monitor multiple activities, events and volunteers in fast-paced environment.
- Interpersonal and communication skills (able to articulate ideas clearly and concisely; and effectively engage audience).
- Ability to work independently with little supervision.
- Excellent time management skills with the ability to meet deadlines.
- Possess data entry and database management skills.
- Knowledge and experience working in Salesforce for volunteer management preferred.
Education and Experience
- High School Diploma or GED required with at least two (2) to three (3) years of proven experience working in volunteer services for a non-profit organization. Bachelor’s Degree in related field preferred but not required.
Working Conditions
- There are evening and weekend requirements for this position several times a month. When a night or weekend event takes place outside of scheduled hours, you will coordinate a day off with the Director of Volunteer services.
- Prolonged periods of sitting at a desk, standing, walking, bending and working on a computer. Use of hands to finger, handle or feel; reach with hands and arms; talk, hear and see. Occasionally this role is required to stoop, kneel or crouch.
- Must be able to lift regularly and/or move up to 20 pounds.
- High degree of social interaction via in-person contact as well as telephone conversations and/or emails.
- Occasionally will be required to travel locally as well as to event sites.
- May be exposed to hot or cold temperatures or noise levels that are distracting.
