What are the responsibilities and job description for the Accounting and Sales/Logistics Assistant position at Activ8?
A global chemical manufacture is looking for an Accounting and Sales/Logistics Assistant in Esat Midtown area. Ideal candidate has experience with basic accounting activities such as journal entry, general ledger, invoice, AP and AR, reconciliation, and monthly report and sales/logistics support such as PO’s processing, shipping arrangements, tract shipments and inventory, etc.
Responsibilities;
Accounting
Prepare and verify daily reports, including income/sales and journal entries.
Manage daily deposits of sales receipts and reconcile bank and general ledger accounts.
Communicate with managers and accounting teams to ensure tasks are on track.
Prepare checks and compile monthly reports, while investigating and collecting outstanding invoices.
Issue invoices and input AP expenses.
Prepare and submit monthly payment lists to management for approval.
Assist in preparing financial statements, manage AR and AP accounts, and ensure accurate bank account reconciliations.
Ensure 100% accuracy in reporting financial information.
Sales and Logistics Support
Process purchase orders and ensure customer support is delivered on time and with high quality.
Coordinate shipping schedule with HQ office and confirm delivery dates and addresses with customers.
Respond to customer delivery inquiries and forward necessary shipping documents to brokers and customers.
Coordinate with forwarding agents, providing up-to-date information to customers.
Notify customers of delivery delays in advance and monitor consignment inventory closely.
Enter daily PO transactions and ensure timely invoicing for customers.
Upgrade logistics systems by developing SAP or SAGE processes.
Develop manuals for shipment tracking methodologies and create logistics presentations for sales teams.
Provide regular logistics updates to staff on a weekly or monthly basis.
Requirements
Bachelor's degree in Accounting, Business Administration, Supply Chain, Logistics, or a related field.
2-3 years experience in accounting such as journal entry, general ledger, invoice, deposits, AP and AR, reconciliation, and monthly report
2-3 years experience in sales/logistics support such as PO’s processing, shipping arrangements, tract shipments and inventory, customer service, etc.
Proficiency in using accounting and logistics software (e.g., Excel, SAP, SAGE).
Strong attention to detail and accuracy in reporting and data entry.
Excellent organizational and time-management skills, with the ability to handle multiple tasks effectively.
Ability to work under pressure and meet tight deadlines.
Strong customer service orientation and ability to resolve delivery-related inquiries.
While performing the duties of this job you may be required to intermittently sit, stand, walk, lift up to 25 pounds. You may also be required to use close vision, distance vision, color vision, depth perception, and peripheral vision and hearing.
