Overview
Note: This position is Hybrid to Pearl River, New York
Interacts with external/internal clients to sell and book travel, including hotel and cruise accommodations. Develop relationships, secures reservations, assist with travel website utilization, issues confirmations, create and compiles reports of transactions and completes billing for transactions.
This position has cross functionality, as needed, in assisting with preparation or review of any Travel department invoices, bills and records maintenance as well as reconciliation of travel inventories.
Responsibilities
- Responds to requests received from email/travel website/phone to assist with travel inquiries. Such interaction includes Active clients, media clients, vendors, internal business and leisure, and friends and family clubs.
- Proactively calls assigned clients to sell existing travel inventories; maintains and helps to grow transient client sales.Compiles information of travel, lodging space and rate information when appropriate to help clients with their travel needs.
- Keeps current on Active’s travel offerings and inventories and actively promotes/sells to clients. Uses knowledge of offerings on company travel website as a tool to facilitate travel sales, promotions, etc. and assists in training clients to use this tool. In addition, based on solicited customer feedback on hotels, shares information and makes recommendations on how to better promote the hotel property.
- Proactively engages with clients on future group meetings needs in an effort to help cross-sell travel inventory to Active’s meetings department.
- Handles and processes travel requests from vendors and partners as assigned.
- Processes all requests and confirmations through Active’s proprietary system within the Active Travel Systems.
- Provides support on all travel website maintenance needs, to include uploading hotels, spot checks, edits, promotions.
- Assists in the creation and balance verification of quarterly reports for clients.
- Creates, reconciles and processes invoices, bills and maintains records of travel inventories as needed through the Travel Operations team and liaises with all appropriate internal or external personnel and other parties throughout the process. Recommends process changes to streamline as needed.
- Reviews for accuracy and processes monthly AMEX statement for travel department expenses. Prepares ad-hoc reporting and participates in other duties as assigned.
Supervisory Responsibilities
This position has no supervisory responsibilities.

The salary is $45,000. The successful candidate’s salary will depend on the actual ranges of current employees in the subject position, market considerations, budgetary considerations, geography, as well as the candidate’s skill set, level of experience, and qualifications. Qualifications
- High School diploma or GED required.
- Minimum of 2 years Travel Reservationist experience; Or college degree, or equivalent work training, focused on Hospitality.
- Proficiency in proprietary PeopleSoft applications, or similar accounting software, is a plus.
- Proficiency in Word and Excel required.
- Proficiency in PowerPoint is a plus.
- General knowledge of world geography is preferred.
- Cruise sales experience is a plus.
Travel
This position does not require any regularly scheduled travel.
