Overview

The Administrative Assistant is critical in improving the client experience and supporting the Operations Lead in staying organized and completing tasks, allowing them to focus on problem-solving, vision tasks, and improving the client experience.

Responsibilities

  • Report to the Operations Lead for daily updates, accomplishments, and any issues requiring attention.
  • Manage daily administrative tasks, including answering phones, scheduling, and organizing documents.
  • Coordinate team meetings and events and prepare agendas.
  • Assist in project management by tracking deadlines and facilitating communication.
  • Handle expense reporting, invoicing, and basic accounting tasks.
  • Liaise with vendors and clients, providing excellent customer service.
  • Maintain office supplies and manage inventory.
  • Document and update standard operation procedures and best practices.
  • Schedule/post to business media accounts weekly.
  • Approach the facility and client experience with an “unreasonable hospitality” mindset and be relentless in living up to it.
  • Consume, share, and engage with Active Life content (including but not limited to podcasts and Instagram).

Skills & Qualifications

  • Managing inventory or conducting billing (preferred)
  • Customer service role (preferred)
  • Proven experience as an administrative assistant or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook.)
  • Excellent organizational and time-management skills.
  • Strong communication and interpersonal abilities.
  • Ability to work independently and as part of a team.

Job Type: Part-time

Pay: From $30.00 per hour

Expected hours: 12 – 16 per week
