Overview
The Administrative Assistant is critical in improving the client experience and supporting the Operations Lead in staying organized and completing tasks, allowing them to focus on problem-solving, vision tasks, and improving the client experience.
Responsibilities
- Report to the Operations Lead for daily updates, accomplishments, and any issues requiring attention.
- Manage daily administrative tasks, including answering phones, scheduling, and organizing documents.
- Coordinate team meetings and events and prepare agendas.
- Assist in project management by tracking deadlines and facilitating communication.
- Handle expense reporting, invoicing, and basic accounting tasks.
- Liaise with vendors and clients, providing excellent customer service.
- Maintain office supplies and manage inventory.
- Document and update standard operation procedures and best practices.
- Schedule/post to business media accounts weekly.
- Approach the facility and client experience with an “unreasonable hospitality” mindset and be relentless in living up to it.
- Consume, share, and engage with Active Life content (including but not limited to podcasts and Instagram).

Skills & Qualifications
- Managing inventory or conducting billing (preferred)
- Customer service role (preferred)
- Proven experience as an administrative assistant or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook.)
- Excellent organizational and time-management skills.
- Strong communication and interpersonal abilities.
- Ability to work independently and as part of a team.
