The Seminar Coordinator will work with the Seminar team to organize and conduct ART seminars and reports directly to the Seminar Operations Manager. The Seminar Coordinator will also assist with Continuing Education (CE) and ART’s registration and learning management systems.
Responsibilities – What You’ll Do
- Understand the functions, operation, and mission of the Seminar Department.
- Coordinate 2-3 seminars per month and travel to 1-2 weekend seminars per month within the United States and Canada.
- Deliver friendly, resolution-focused customer service to seminar attendees, instructors, and all other stakeholders.
- Conduct seminar logistics for assigned seminars including: venue food and beverage orders, instructor lodging coordination, shipping seminar materials, audiovisual/equipment orders and set up, and instructor/attendee communication.
- Process online and phone seminar orders for assigned seminars in the registration platform.
- Provide on-site hospitality to seminar attendees and instructors at assigned seminars.
- Accurately complete all post-seminar logistics and documentation within three business days of the completion of a seminar including: testing results, certificates, CE documentation, surveys, updating provider and instructor accounts and profiles, instructor pay, and expense reports.
- Assist in securing CE for ART seminars, including creating and submitting CE applications to appropriate entities and completing post-seminar processes.
- Assist with uploading educational content to the ART learning management system for online learning and webinars.
- Other duties as assigned.
Qualifications – What You’ll Bring
- Bachelor’s Degree
- 1-2 years of experience in a customer service role
- Excellent verbal and written communication skills combined with a polished and professional attitude
- Strong working knowledge of word processing tools and spreadsheets
- Experience with creating content in learning management systems and event management systems is a plus.
- Extremely organized, detail-oriented, and able to manage multiple tasks
- Willing to learn company verbiage and use it to communicate effectively with providers and stakeholders
- Willing to be coached and challenged
- Resourcefulness and problem-solving aptitude
- Experience in or passion for health and wellness industry a plus

Please note that ART is unable to negotiate above the posted salary range. A comprehensive benefits package is offered separately to eligible employees and is not included in the base salary.
