What are the responsibilities and job description for the Project Coordinator position at Active Security Consulting LLC?
The successful Project Coordinator assists the project/program manager by conducting, coordinating, and communicating the status of mission support functions related to the assigned project. These functions include, but are not limited to the purchasing, distribution, management, and accounting of project inventory in support of assigned programs. This position serves as the lead for the preparation of purchase orders and receipt of goods to & from vendors and service providers in support of assigned programs. The Project Coordinator also assists with materials and resource planning, staff scheduling, and other duties as assigned by the Project or Program Manager.
The Project Coordinator continually develops and improves program-specific procurement and inventory distribution processes, vendor communication and status reporting, tools, documentation, and organization methodologies, and contributes to facilities & warehouse management, logistics oversight, quality control, and operational excellence in all aspects.
MAJOR JOB RESPONSIBILITIES:
- Conducts procurement and purchasing for assigned projects.
- Oversees shipping & receiving of materials and equipment.
- Maintains high quality project documentation, databases, templates, and other reference material to support timely, accurate, and consistent project purchasing and inventory management.
- Maintains accurate vendor files and vendor communications for pricing, tech data, order status, and other critical information.
- Builds and maintains positive working relationships with suppliers, OEM’s, subcontractors, and other vendors associated with assigned projects.
- Experience and knowledge of configuration management and change management practices including maintaining configuration management databases (CMDB)
- Experienced with inventory management practices, administering return merchandise authorizations (RMAs)
- Utilizes professional experience to drive a collaborative team environment dedicated to mission focus, respect, and adherence to Active Security’s mission, vision, and principles.
Education/Certifications:
- Bachelor’s degree, Related Industrial or Military experience, or technical training/certificate preferred.
Experience:
- 3 years of experience in a logistical role earning experience in purchasing, inspection & receiving, maintaining inventory, picking, and shipping products, and communicating/coordinating with vendors and internal teams.
- Operational experience in the security, communications, or technology fields, with a basic understanding of security, communications, surveillance, and IT technology, infrastructure and equipment.
- Proven experience in similar roles requiring extreme organization, attention to detail, and process management.
Required Skills:
- Demonstrated oral and written communication skills with all levels of company and vendor, partner, and customer interaction.
- Demonstrated ability to operate Microsoft Office tools with a high degree of proficiency, particularly Microsoft TEAMS.
- Demonstrated ability to efficiently operate various Inventory, Professional Service Management, and Customer Relations Management software applications, particularly ConnectWise Manage.
- Demonstrated ability to establish excellent working relationships with vendors, partners, customers, technical staff, managers, and peers.
- Demonstrated ability to perform the requirements of the position under the pressure of critical timelines.
- Demonstrated ability to read and understand architectural drawings.
- Demonstrated ability to take direction from Government, Customer, and Internal Program Personnel.
Additional Preferred Skills
- Experience using various software applications to perform inventory management documentation or financial accounting documentation.
- Experience in obtaining detailed technology & equipment requirements from sources such as RFP/RFQ documents, drawings, site surveys, or verbal communications.
- Experience in warehouse management, shipping & receiving, quality assurance inspections, and other logistics related facility experience.
- Hands-on experience as a technician in a related field.
- Possess or able to obtain a Secret Security Clearance and be suitable for positions of public trust.
- Capable of organizing administrative and logistical requirements necessary to conduct site surveys and other business travel without supervision or assistance.
- Capable of developing, prioritizing, and executing a schedule of tasks without supervision.
- Demonstrated ability to build relationships across all levels of the assigned project, the Active Security organization and within the customer / supplier environment.
