POSITION GENERAL SUMMARY:
Provides technical and responsible administrative assistance to the Clerk of the District Court, Chief Deputy, Assistant Chief Deputy, Office Administrator, and HR Generalist. Primary point of contact for the Clerk and Chief Deputy to the public, the county, and other branches of government in a manner befitting the public’s office.
DISTINGUISHING FEATURES
An Administrative Specialist I is provided close supervision, training, and learning opportunities. The incumbent resolves moderately complex matters in a variety of media while maintaining a high level of professionalism and confidentiality.
- Resolves inquiries from individuals in person, by telephone, and via correspondence;
- Resolves public information requests;
- Open, sorts, and distributes mail;
- Maintains files and logs for policies, procedures, and legal opinions;
- Creates and coordinates a variety of written materials;
- Retains original copies of County agreements, contracts, resolutions, ordinances, and Commissioners’ minutes;
- Purchases supplies, office equipment, and furniture;
- Processes payment through the creation of purchase orders, processing vouchers, and managing county service requests;
- Creates invoices for divisional purchases and for stocking supply room;
- Organizes and coordinates office functions including: meetings, legislative receptions, employee recognition events, and retirements;
- Creates presentations for use by the office’s management team;
- Assists with the development, implementation, and administration of policies and procedures within the office;
- Acts a backup to Office Administrator and HR Generalist;
- Assist HR Generalist with scheduling, phone calls, new employee paperwork, and trainings as needed.
ADDITIONAL FUNCTIONS
- Coordinates publication of ordinance changes, election notices, and other statutorily required notices;
- Performs related functions as assigned.
- High school diploma or equivalent;
- A minimum of one year of clerical experience required;
- Knowledge of research, analytical, and organizational techniques;
- Skill in writing business correspondence;
- Skill in the operation of Microsoft Office products;
- Skill typing accurately at least 35 wpm;
- Ability to exercise a high level of professionalism;
- Ability to organize projects, develop timelines, and schedules;
- Ability to maintain confidentiality and use discretion in the handling of office affairs;
- Ability to exercise independent judgment;
- Ability to develop, prepare and maintain accurate records and files;
- Ability to analyze data and make decisions in accordance with laws, ordinances, regulations, and departmental policies and procedures;
- Ability to maintain effective working relationships with other employees, elected officials, department heads and the general public.
- Work is performed primarily in an office environment and the employee in this class is subject to inside environmental conditions;
- May be required to lift up to 20 lbs;
- Requires sufficient personal mobility and physical reflexes, which permits the employee to function in a general office environment to accomplish tasks.
