SUMMARY OF POSITION:
Supports Adcom in a variety of administrative capacities, including, but not limited to; greeting, assisting, and providing direction and information to clients, visitors, and other guests. Inventories and orders office supplies, general supplies, and vending items; Schedules meetings and events. Reviews, and processes payments for CORA requests. Answers the ADCOM main administrative phone line and directs calls to appropriate staff members. Maintains visitor logs, background checks, employee contact list, mail log, and CORA request log. Processes incoming and outgoing mail. Calendars staff appointments and out of office events. Scans camera footage of ADCOM premises and reports any unusual events as appropriate.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Greets clients, visitors, and guests; determines the purpose of each person’s visit and directs or escorts him or her to the appropriate location.
- Answers, screens, and directs phone calls to staff; takes messages and schedules appointments.
- Maintains inventory of office supplies, kitchen/vending supplies, janitorial supplies, and first aid supplies. Purchases supplies in accordance with established purchasing procedures.
- Receives mail, documents, packages, and courier deliveries and delivers or distributes items.
- Performs administrative and clerical support tasks.
- Manages all office equipment, including coordinating maintenance and service calls.
- Performs basic filing and recordkeeping.
- Assists Support Services Manager with office organization, planning, and direction.
- Supports ADCOM Admin staff with filing, correspondence, and general organizational functions.
- Processes CORA requests for information and receipts payments.
- Scans ongoing camera footage for unusual events, people, or vehicles.
- Other duties as assigned.
Qualifications
POSSESSION OF OR ABILITY TO OBTAIN THE FOLLOWING LICENSES AND CERIFICATIONS:
- Valid unrestricted Colorado Driver’s License
- Notary – Can be obtained upon hiring
KNOWLEDGE
- Best practices and procedures for administrative duties.
- Knowledge of the Colorado Open Records Act (CORA).
- Excellent command of grammar, spelling, and punctuation.
- Operation of office equipment, computer systems and their associated applications.

- Communicate verbally and in written form, able to present clear, logical, and concise reports, investigations, summaries, recommendations, and presentations.

- Exercise effective judgement and leadership in day-to-day operations.
- Operate computer and business software applications including, but not limited to; Microsoft Word, Outlook, Excel, PowerPoint, and Paycom and able to learn and operate other applications as needed.
- Establish and maintain effective relationships with ADCOM staff, visitors, citizens, and member agencies.
- Use good judgement and follow policy related to confidential and privileged information for employees, and within the operations of ADCOM.
EDUCATION AND EXPERIENCE:
- High School Diploma or equivalent
- 1 years’ experience in a related field preferred.
CONDITIONS OF EMPLOYMENT:
- Must pass a pre-employment criminal background check.
- Successful candidate must submit to post-offer, pre-employment physical examination and medical history check, if required.
WORKING CONDITIONS AND PHYSICAL Requirements
- Incumbent works primarily in an office setting.
- Position typically requires; extended periods of sitting, standing, light grasp, fine manipulation, talking, hearing, seeing, and repetitive motions; occasionally requires periods of squatting, walking, twisting, bending, kneeling, climbing, balancing, firm grasp and reaching above shoulder.
- Incumbent must also be capable of frequently lifting, carrying, pushing, and pulling of up to ten (10) pounds to move materials and supplies; occasional lifting, pushing, and pulling of up to twenty-five (25) pounds with equipment assistance.
Salary : $23 - $25
