To perform a wide variety of responsible and difficult clerical work in support of the assigned function and to provide information and assistance to other County staff and the public regarding departmental policies and procedures.
Ability to obtain, maintain, and ensure continued access to State and County systems in strict compliance with all applicable county and state regulations, policies, and user agreements.
- Working with various Counties, States, and government offices to obtain Birth, Death Certificates, or Social Security Cards.
- Escalation Review – receiving and forwarding time sensitive requests, including Subpoenas, Appeals and Expungements
- Support case aide’s, caseworker, supervisors, managers, and Family Time Vendors on needed tasks. Answering questions for the public and help directing people to the correct place
- Answering Child and Family phones, transferring calls to the correct worker and assisting with general questions.
- Data Entry - Opening, Transferring and Closing files and referrals for Caseworkers in State and County Applications.
- Managing the Family Engagement Center front desk - which includes checking people in, notifying workers of arrivals, directing clients to the proper location, assisting clients over the phone, completing specific tasks assigned to the area, including distributing Faxes and Scanning Documents.
- Processing and tracking RTD Bus Passes, RTD 10-Ride Ticket Books and Gas Cards as requested by division staff.
- Deliver mail and files to Caseworkers and Management teams. Send Certified letters for division.
- Support maintenance for Child and Family fleet vehicles, which may include driving vehicles to Fleet Maintenance Facility.
- Create packets of information for Caseworkers to assist with family engagement.
- Create and maintain the Family Engagement Center visitation schedule. Including emailing division to remind them to submit the next months requests, updating calendar daily and tracking additional information.
- Working with Family Time Coaches and Building Security as needed and communicate with staff on concerns.
- Notarize documents for division staff.
- Perform other related duties and responsibilities as assigned.
- Proper English usage, spelling, grammar, and punctuation.
- Modern office procedures and practices, including proper telephone etiquette and familiarity with computer equipment.
- Mathematical principles.
- Record keeping and filing techniques. Type 40 w.p.m. with accuracy.
- Operate modern office equipment including computer equipment.
- Ability to learn the functions, structure, and organizational policies of the County.
- Understand the organization and operation of the County and of outside agencies, as necessary, to assume assigned responsibilities.
- Interpret and apply general departmental policies, procedures, laws, and regulations. Perform mathematical calculations quickly and accurately.
- Respond to questions from the public and County personnel regarding policies and procedures in assigned areas.
- Understand and carry out oral and written directions.
- Communicate clearly and concisely, both orally and in writing.
- Establish, maintain, and foster positive and harmonious working relationships with those contacted in the course of work.
- Work cooperatively with other departments, County officials, and outside agencies.
- Perform responsible and difficult clerical work involving the use of independent judgment and personal initiative including maintenance of appropriate records and compiling information for reports.
- Work independently in the absence of supervision.
Experience: Three (3) years of responsible clerical experience including public contact. Notary Public is desirable.
Education and Training:
- High school diploma or GED equivalent required.
- Some specialized clerical training is desirable.
License or Certificate:
- Ability to obtain, maintain, and ensure continued access to statewide and county systems in strict compliance with all applicable county and state regulations, policies, and user agreements.
Background Check: Must pass a criminal and Driver’s license background check.
Essential duties require the following physical abilities and work environment:- Ability to work in a standard office environment.
- Ability to work in-building 5 days a week
