Overview:
APG Southern Wisconsin is launching a new Events Division, and we’re looking for a high energy, motivated and detail-oriented Event Director to help us build! This is an exciting opportunity to join a trusted media company at a pivotal moment of expansion.
The events we are looking to develop will center around education, business, community festivals, B2B trade shows, B2C vendor shows, among others. Nothing is off limits as long as it helps the community, the company and all the stakeholders improve and make meaningful connections.
Our vision is to create a scalable Events Division that grows revenue and audience in meaningful ways. We’ve set clear goals for performance and profitability, and as we hit those benchmarks, we’ll expand the team and grow as we go. The person in this role will be instrumental—not just in executing events, but in shaping the structure of the division and playing a key role in future hiring and scaling decisions.
We will also be looking to establish a new brand in Wisconsin that will become the premier event company and help businesses grow through their own branded events.
You’ll also work closely with our existing support team including coordinators, sales, development, and marketing teams to plan, build, launch, and execute events, including final KPI and after-event reports.
Key Responsibilities:
Provide weekly reports and updates on event progress, discuss budget needs, conflicts, etc. Be prepared to present information. Be prepared to work across all departments as needs arise to maximize the event’s effectiveness.
- Negotiate event partnerships and promote the building of good events in our community
- Negotiate event space and vendors, arrange food and beverage, order supplies and audiovisual equipment, make travel arrangements, order event signage, and ensure appropriate décor (florals, linens, color schemes, etc.) to meet the quality expectations of P2P Events.
- Manage event budgets and produce profitable events
- Aggressively gather information on each project to achieve quality event productions.
- Prepare and organize event research into documents that are easily analyzed by others.
- Conduct market research on new events, visit sites, and find resources to help staff decide about event possibilities.
- Create and revise room layouts for each event.
- Propose new ideas to improve the event planning and implementation process.
- Serve as liaison with vendors on event-related matters.
Assist with managing on-site production and clean-up for events as necessary. Prepare name tags, materials, notebooks, packages, gift bags, registration lists, seating cards, etc.
- Prepare exit reports and send client satisfaction surveys
- Closeout all events as required
Job Specifications:
Excellent communication skills, including writing, proofreading skills, and speaking. Ability to manage multiple projects and people to accomplish goals
Excellent interpersonal skills both in person and by phone, with high professionalism. Ability to accomplish projects with little supervision.
- Fantastic customer service and high expectations for quality.
- A bachelor’s degree is preferred; significant work experience can be substituted for the degree.
- At least 3 years of experience leading events
- Proficient in using the latest versions of Google Sheets, Microsoft Word, Excel, PowerPoint, Access, mail merges, and email and web searches.
