Transaction Coordinator – Real Estate
Location: Bowling Green, Kentucky
Employment Type: Part time with potential to become full time.
Compensation: $25,000 - $27,000 part time

As we continue to grow, we’re looking for a Transaction Coordinator to support our operations and help our clients achieve their real estate goals.
What You’ll Do
As a Transaction Coordinator, you’ll work closely with the Director of Operations and be responsible for managing every transaction from contract to close. Your day-to-day duties will include:
✅ Database & Transaction Management
- Enter and maintain contact records in our CRM (Command).
- Track transactions from lead to closing, ensuring accuracy and timely updates.
- Manage transaction documents and deadlines efficiently.
✅ Document Preparation & Compliance
- Use DocuSign to prepare contracts, addendums, and other real estate documents for electronic or ink signatures.
- Ensure all necessary listing and buyer documents are complete, accurate, and submitted on time.
- Maintain organized transaction files in Google Drive for easy access and compliance.
✅ MLS & Market Research
- Utilize Paragon MLS to set up home searches, pull comps, upload documents, and schedule open houses.
- Assist agents with gathering necessary property data for listings and buyer consultations.
✅ Checklists & Process Tracking
- Create and manage transaction checklists to ensure nothing falls through the cracks.
- Maintain tracking spreadsheets to monitor active deals and overall business performance.
✅ General Office Support
- Print listing and buyer packets as needed.
- Schedule automated client emails based on transaction milestones.
- Monitor office supply levels and notify the Director of Operations when replenishments are needed.
- Keep a monthly 4-1-1 plan after completing the initial 30-60-90 training.
Who You Are
- Highly organized with strong attention to detail.
- Comfortable learning and using technology such as Command, DocuSign, Google Drive, and MLS platforms.
- Excellent written and verbal communication skills.
- Able to handle multiple tasks and meet deadlines in a fast-paced environment.
- A problem solver with a proactive mindset.
- Experience in real estate or transaction coordination is a plus but not required!
