Entry Level Qualifications:
Must have a high school diploma and two years experience in office-related work. Type accurately at 55 wpm. Must have good word processing skills. Must be able to work with minimal supervision and have good organizational and filing skills.
- Must be able to see at 20/40 corrected in each eye and hear (hearing aid acceptable.)
- Must possess good communication and grammar skills.
- Must possess knowledge of a high volume copier & fax machine.
- Must be able to continuously sit for up to six hrs. (6) per 8 hr. shift.
- Must be emotionally and physically capable of functioning under stressful situations.
- If recovering, must have minimum of two (2) years of continuous sobriety.
General Responsibilities:
Know and abide by the general provisions of 42 CFR Part 2, “Confidentiality of Alcohol and Drug Abuse Patient Records”; and 45 CFR “Health Insurance Portability and Accountability Act”. This position has unrestricted access to patient identifying information.
Essential Functions:
- Compile and mail out New Employee packets as requested.
- Verification of past employment. Handle pre-employment process for prospective employees
- Forward completed pre-employment file to the Human Resources Director.
- Assist employees and Human Resource Director with questions or requests for materials.
- Make electronic file folders for all new employees.
- Pull terminated employees’ files after each pay period.
- Maintain payroll, personnel and medical files for employees.
- Send letters employees regarding missing personnel file contents.
- Maintain I-9 forms binder.
- Handle telephone benefit accrual questions.
- Inventory and order HR supplies on a monthly basis.
- Send previous years’ terminated employees’ files to storage at the beginning of each year.
- Switchboard relief and back up for switchboard operator in their absence.
- Assist Human Resources Director with responsibilities when needed.
- Must maintain a professional demeanor and appearance, must not appear impaired or disoriented, but rather must present coherent and articulate speech, kept appearance, alert, oriented, and responsive to patients' needs and concerns.
- Regular attendance.
- Must be able to work in a cooperative manner with co-workers, managers, clients and prospective clients.
- Must be able to work in a constant state of alertness as to perform the job in a safe manner.
