Duties/Responsibilities:
- Work closely with regional/branch teams to complete customer pre-qualification forms (PQFs), master service agreements (MSAs), contract documents, questionnaires, and pricing spreadsheets promptly.
- Maintain and update key "bid" and contract documents to ensure consistency across customer agreements and facilitate quick contract modifications or additions.
- Review, redline, and negotiate customer and vendor contract terms, including payment conditions, indemnities, and insurance requirements, aligning them with company policies. Coordinate with insurance providers to confirm compliance with contract obligations.
- Organize and maintain contract files in the company’s internal system or contract management software. Distribute key contract details to relevant departments for tracking renewals, expirations, addendums, or new agreements.
- Ensure compliance with all required contract obligations and deadlines, notifying internal teams well in advance of upcoming milestones.
- Work with Pricing/Project Controls and Billing departments to monitor, maintain, and audit contract pricing files. Verify that the company’s ERP system reflects the latest customer-specific pricing and that invoicing aligns with contract terms.
- Oversee compliance with state contractor licensing requirements in all operational areas.
- Extensive experience with standard contract terminology, including indemnifications, terms, and warranties.
- Strong organizational and administrative skills with keen attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and SharePoint).
- Experience with DocuSign, Adobe Sign, or similar platforms for contract management.
- Familiarity with contract management software for creating, editing, and tracking contract documents (e.g., PandaDoc, DocuSign CLM, SAP Ariba, Procore, or similar systems).
- Minimum of five (5) years of relevant contract administration experience.
- Experience in adjacent fields such as paralegal or insurance underwriting may be considered.
- Experience with international contracting is a plus but not required.
- A Bachelor’s degree in Business Administration, Accounting, or a related field is preferred.
