Job Description:
The Executive Assistant will support senior marketing executives, ensuring seamless coordination of schedules, travel, and key organizational initiatives. This role requires discretion, attention to detail, and the ability to manage multiple priorities efficiently.
Key Responsibilities:
- Manage executives’ calendars, schedule meetings, and coordinate appointments.
- Process expense reports, invoices, and reconcile corporate credit cards.
- Arrange complex travel plans, create detailed itineraries, and update schedules accordingly.
- Answer and field incoming phone calls for senior leaders.
- Coordinate internal and external meetings, including logistics, room scheduling, and guest greeting.
- Organize and facilitate departmental activities, board meetings, and HQ events.
- Handle confidential and sensitive information with discretion.
- Draft and edit high-level communications, reports, and presentations.
- Monitor media clipping services and generate press summaries.
- Maintain databases, spreadsheets, and document repositories for tracking projects and reporting.
- 7 years of administrative assistant experience, including 5 years supporting senior executives.
- Experience in travel and/or hospitality industries is strongly preferred.
- Bachelor’s degree in administration, communications, or related field (or equivalent experience).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Concur.
- Strong organizational and time management skills with keen attention to detail.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
