Key Responsibilities:
- Draft, proofread, and edit legal documents with precision, ensuring accuracy in grammar and formatting.
- Organize meetings, conference calls, and events, coordinating logistics including venue reservations, catering, and IT support.
- Manage attorneys' schedules and maintain calendars, ensuring timely organization of appointments and meetings.
- Provide daily administrative support to attorneys, including clerical tasks and client communications.
- Handle new client and matter intake processes.
- Prepare and submit electronic expense reports.
- Coordinate travel arrangements and related correspondence.
- Redline documents using comparison software to highlight changes.
- Maintain both electronic and physical files using document management systems.
- Analyze incoming correspondence and organize key documents using a standardized naming convention.
- Build and maintain positive relationships with clients, attorneys, and staff.
- Research and gather information requested by attorneys and paralegals.
- Ensure confidentiality of client matters at all times, practicing discretion and professionalism.
- Record attorney time as necessary.
- Provide backup support for other team members as needed.
- High School Diploma or GED required; Bachelor’s or Associate degree preferred.
- Minimum of 7-10 years of experience as a litigation legal assistant.
- Previous experience in toxic tort and asbestos litigation is a plus.
- Ability to work independently and collaboratively on projects.
- Exceptional attention to detail and ability to handle tasks at a fast pace.
- Strong time management and organizational skills.
- Proficiency in MS Office Suite, particularly Excel, with advanced skills preferred.
- Experience with document management systems like iManage or NetDoc is preferred.
- Familiarity with State and Federal electronic court filing systems.
- Start Date: ASAP
- Work Schedule: Monday through Friday, 8:30 AM – 5:00 PM, with flexibility when needed.
